-Job Title: Warehouse Admin (Billing & Operations)
Location: Bukit Bintang, Kuala Lumpur Type: Full-time
Job Summary:
We are looking for a meticulous and organized Warehouse Admin to manage the administrative flow of our warehouse operations. In this role, you will be the bridge between the warehouse floor and the finance/sales department. You will be responsible for generating invoices, maintaining accurate inventory data, and ensuring parcels are processed and shipped efficiently.
Key Responsibilities:
1. Billing & Invoicing:
- Prepare and issue Invoices, Delivery Orders (DO), and Packing Lists for outgoing shipments.
- Verify incoming stock against Purchase Orders (PO) and supplier invoices.
- Coordinate with the Accounts department to ensure all billing discrepancies are resolved.
- File and archive physical and digital copies of financial documents for auditing purposes.
2. Data Management & Inventory Control:
- Perform daily data entry of stock movements (In/Out) into the system (Excel or Warehouse Management System).
- Monitor stock levels and generate inventory reports for management.
- Conduct regular stock counts/stock takes to ensure system data matches physical stock.
- Maintain an organized filing system for all warehouse documentation.
3. Parcel Processing & Logistics:
- Generate Airway Bills (AWB) and coordinate pick-ups with courier services (e.g., J&T, NinjaVan, PosLaju, Lalamove).
- Ensure all parcels are packed correctly, labeled clearly, and handed over to couriers on time.
- Track shipment status and handle customer inquiries regarding delivery updates or lost parcels.
- Manage returns (RMA) documentation and update the system accordingly.
Requirements:
- Education: Minimum SPM, Diploma, or equivalent.
- Experience: At least 1 year of experience in Admin, Warehouse, or Logistics roles.
- Technical Skills: Proficient in Microsoft Excel (VLOOKUP/Pivot Table is a plus) and familiar with invoicing software (e.g., SQL, AutoCount, or similar).
- Soft Skills: High attention to detail, good time management, and able to work in a fast-paced environment.
- Language: Good command of Bahasa Malaysia and English.
