Human Resource :
- Manage full spectrum of HR operations, including recruitment, onboarding, payroll, confirmation,
and exit processes.
Prepare and maintain accurate employee records, personal files, and HR databases.
Manage recruitment activities — posting job ads, screening resumes, arranging interviews.
Preparing offer letters, HR letters, memos, and other official correspondences.
Support showroom and workshop managers on HR-related matters such as attendance, discipline,
and manpower needs.
- Administer monthly payroll and statutory contributions (EPF, Socso, EIS, PCB, HRD Levy)
accurately and on time.
Prepare and update bonus and increment files for management review and approval.
Check and verify all brown files to confirm sales completion details for sales advisors' commissions
and incentive eligibility.
Maintain employee records, attendance, and leave management systems.
Monitor staff performance appraisals, confirmations, contract renewals, and disciplinary matters.
Coordinate staff training programs including technical, safety, and customer service training.
Ensure compliance with Malaysian labour laws and company policies.
Coordinate and renew Group Personal Accident (GPA) insurance and managers' medical insurance
annually, ensuring updated coverage and accurate records.
- Arrange medical cards with panel clinic for newly confirmed staff and cancel medical cards for
resigned staff.
Liaise with uniform supplier and order uniforms for sales and service staff.
Assist in implementing HR policies and procedures.
Administration:
Coordinate and ensure timely renewal of Bank Guarantees for UMW Toyota, and JPJ as required.
Liaise with the Company Secretary to obtain or renew SSM documents, company resolutions, and
other statutory records when required.
Arrange documents for directors' review and signatures.
Plan and organize annual staff events such as Chinese New Year dinner and Buka Puasa dinner.
Prepare Chinese New Year angpow for staff according to company policy.
Order and arrange festive gifts for directors' customers, and staff during Chinese New Year and Hari
Raya.
- Oversee general office administration including supplies, office equipment, maintenance, and
utilities.
Coordinate with vendors, contractors, and service providers for office and workshop maintenance.
Liaise with printing shop to design and print business cards for all staff as required.
Handle renewal of company business licenses for both PJ showroom and workshop.
Renew MBPJ reserved parking for both PJ showroom and workshop.
Maintain proper filing systems and ensure safekeeping of company documents.
Manage company assets, inventory, and office stationery.
Support the preparation of company events, meetings, and internal communications.
Liaise with banks, insurance providers, suppliers, and government agencies as necessary.
Qualifications for Human Resource & Admin Executive
- Diploma/Degree in Human Resource Management, Accounting, Finance, Business
Administration, or related field.
Minimum two (2) to four (4) years of relevant working experience in HR, administration, preferably in the automotive industry.
Good understanding of Malaysia Employment Act and statutory requirements.
Familiar with accounts payable processes, payroll, and basic accounting procedures.
Proficient in Microsoft Office (Word, Excel, PowerPoint) and HRMS or payroll software.
Detailed-oriented, organized, and able to manage multiple responsibilities independently.
Good communication and coordination skills across departments and with external parties.
Able to handle confidential information with professionalism and integrity.
Job Types: Full-time, Permanent
Pay: Up to RM4,000.00 per month
