Salary Range: RM 3,000 – RM 5,000 (depending on experience)
Overall Role
To provide high-level administrative, operational, and personal support to the Managing Director. The Executive Assistant ensures smooth daily operations, handles key communications, maintains confidentiality, and manages priorities across business, branch, and personal matters.
Key Responsibilities
1. Executive Support & Coordination
- Manage the Managing Director's daily schedule, appointments, and travel arrangements.
- Coordinate and prepare for meetings, presentations, and reports.
- Ensure the Director is always well-briefed and prepared before each meeting.
- Handle confidential documents and information with discretion.
- Anticipate needs and plan ahead — ensure follow-ups are completed on time.
2. Communication & Liaison
- Act as the primary point of contact between the Director and internal/external parties.
- Screen calls, emails, and messages — prioritize what requires attention.
- Draft and review emails, memos, and correspondences professionally.
- Liaise with branch managers, clients, and suppliers for matters requiring the Director's attention.
3. Operations & Administrative Support
- Assist with branch administration — track key deadlines, reports, and updates.
- Follow up with teams on action items assigned by the Director.
- Maintain organized digital and physical filing systems for business documents.
- Prepare and summarize reports, proposals, and presentations as required.
- Support HR and finance functions — staff coordination, petty cash, or claims verification.
4. Project & Business Support
- Coordinate special projects assigned by the Director — including property, branding, or clinic operations.
- Maintain project trackers and monitor progress against deadlines.
- Conduct basic research or compile business data as needed.
- Liaise with vendors, interior designers, or external partners for business tasks.
5. Personal Assistance (as needed)
- Assist with personal errands, travel, or household management when required.
- Handle confidential personal matters and booking arrangements efficiently.
Requirements
- Education: Bachelor's Degree in Business Administration, Management, Office Administration, or related field.
- Experience: Minimum 3–5 years of experience supporting senior management or Director-level executives.
- Good command of English and Bahasa Malaysia.
- Strong organizational and multitasking skills with attention to detail.
- High level of confidentiality, professionalism, and integrity.
- Proficient in Microsoft Office / Google Workspace and modern productivity tools.
- Ability to work independently and anticipate the Director's needs proactively.
- Good interpersonal skills and strong sense of responsibility.
* Preferred Background: Experience in corporate, healthcare/medical, or retail operations is an advantage.
Job Types: Full-time, Permanent
Pay: RM3, RM5,000.00 per month
