We are seeking a detail-oriented and proactive Purchase & Accounts Assistant to support our purchasing, accounts, and international operations. This role is responsible for monitoring stock levels, coordinating purchase activities, assisting with shipments, and supporting the Accounts team with supplier invoicing and payment processing.

The ideal candidate is organized, reliable, and capable of handling multiple coordination tasks with accuracy.

Key Responsibilities:

Purchasing & Inventory

  • Monitor stock levels across warehouse and sales channels.
  • Prepare purchase requests and confirm purchase orders with approved suppliers (mainly in China).
  • Track order status, production lead times, and ensure timely delivery.
  • Maintain accurate purchasing and inventory records.

Shipment & Logistics

  • Coordinate incoming shipments with suppliers, forwarders, and courier partners.
  • Handle import/export documents such as packing list, invoice, CO, etc.
  • Support smooth customs clearance and delivery to warehouse.

International Distributor Coordination

  • Liaise with overseas distributors (e.g. Singapore, Vietnam) on order processing and shipment arrangements.
  • Prepare packing list, export documents, and delivery timelines.
  • Provide regular updates to distributors on delivery status and resolve any operational concerns.

Accounts Support

  • Match supplier invoices against purchase orders and delivery notes.
  • Assist in preparing payment vouchers and processing supplier payments.
  • Support monthly closing by compiling purchasing and shipment documents.
  • Maintain proper filing of procurement and accounts records for audit.

Reporting & Communication

  • Maintain up-to-date PO and shipment tracking files.
  • Prepare simple weekly purchasing and inventory reports.
  • Flag any delays, discrepancies, or quality issues to management promptly.

Requirements:

  • Diploma or Degree in Business Administration, Accounting, Logistics, or related field.
  • 1–2 years of experience in purchasing, logistics, or accounts support (fresh graduates are welcome to apply).
  • Good communication skills in English/Bahasa Malaysia and Mandarin (to liaise with China suppliers and international distributors).
  • Proficient in Microsoft Excel and basic accounting software.
  • Detail-oriented, organized, and able to coordinate multiple tasks.

Job Types: Full-time, Permanent

Pay: RM2, RM4,000.00 per month
