Job Responsibilities
Email Management:
Organise and prioritise emails.
Draft and respond to emails on behalf of the Director.
Manage multiple inbox's to ensure timely responses.
Calendar/ Diary Management:
Organise & manage appointments, meetings & events across teams and time zones.
Coordinate travel arrangements.
Set reminders for important deadlines.
Administrative Support:
Prepare reports, presentations, and briefing materials for meetings.
Support research and operational projects as required.
Organise and coordinate meetings, including preparing agendas, taking minutes, monitoring timing and ensure follow-up actions are tracked.
Problem solving and providing solutions where possible to the Director.
Communication:
Serve as a liaison between the Director/General Manager and other team members.
Screen and handle phone calls.
Communicate effectively with the director on day to day appointments & urgent action items.
Task Coordination:
Coordinate tasks with other team members and vendors.
Ensure all assignments are completed on time.
Requirements:
Proven experience as an Executive Assistant or in a similar role.
Experience in providing high-level support to the Director and General Manager.
Strong time management and attention to detail.
Think outside the box to help with finding solutions in a fast paced environment.
Go getter attitude who can manage & offer support to multiple executives.
Strong organisational and multitasking skills.
Excellent written and verbal communication skills.
Proficient in Microsoft Office Suite and Google Workspace.
Discretion and confidentiality in handling sensitive information.
Ability to work independently and remotely.
Familiarity with project management tools is a plus.
