The Personal Assistant plays a vital role in supporting the senior management by managing their calendar, coordinating meetings, and optimizing operational processes.

This position requires excellent organizational skills, attention to detail, and the ability to build relationships with stakeholders. The Personal Assistant is responsible for ensuring everything is well-prepared, managing communications, and assisting in operational planning.

Responsibilities:

Calendar and Schedule Management:

  • Organize and maintain the calendar, scheduling meetings, appointments, and travel arrangements.
  • Ensure the senior management is wellinformed and prepared for upcoming commitments.

Meeting Coordination:

  • Prepare agendas, materials, and presentations for meetings.
  • Attend meetings, take notes, and follow up on action items.
  • Coordinate with stakeholders to schedule meetings and arrange logistics.

Relationship Management:

  • Build and maintain strong relationships with key stakeholders, including board members, executives, clients, and partners.
  • Act as a liaison between the senior management and internal/external parties.

Operational Support:

  • Assist in developing and implementing operational strategies, policies, and procedures.
  • Collaborate with departments to streamline operations and improve efficiency.

Vendor Management:

  • Manage relationships with external vendors, suppliers, and service providers.
  • Negotiate contracts and ensure timely delivery of goods and services.

Policy Development:

  • Contribute to the development and implementation of organizational policies and procedures.
  • Ensure compliance with regulations and industry standards.

Decision Support:

  • Provide research, analysis, and recommendations to assist the senior management in making informed decisions.
  • Conduct market research and feasibility studies for new projects.

Communication and Correspondence:

  • Handle incoming and outgoing communications.
  • Prioritize and respond to inquiries or delegate them to the appropriate individuals.

Job Requirements:

  • Bachelor's degree in business administration or a related field is preferred.
  • At least 4 years of related experience required.
Proven experience as a Personal Assistant or Executive Assistant.

  • Strong organizational and multitasking skills.
  • Excellent communication and relationshipbuilding abilities.
  • Strong command of spoken and written English and Mandarin at a business level.
  • Ability to handle sensitive information with confidentiality.
  • Strong problemsolving and decisionmaking skills.

Salary:
RM4, RM6,000.00 per month
