Responsibilities:

  • Fleet Management & Driver Arrangement
  • Schedule transportation service route, planning route and assigning driver
  • Monitor logbook entries and OT submission
  • Schedule fleet vehicles for preventive maintenance, repairs, and other related service
  • Maintain accurate records of fleet vehicle maintenance and repair history
  • Prepare report for fleet activity (fuel usage, toll usage).
  • Process and verify invoices for payment
  • Maintain and monitor records of road tax & insurance expiry date. Liaise with Finance for renewal
  • Cafeteria and Vending Machine Management
  • To ensure facilities management team to carry out facilities maintenance operation for cafeteria including grease trap cleaning, pest control, repairs and etc.
  • To manage contract agreement and to initiate the renewal process upon expiry
  • To follow up outstanding payment for rental/utilities
  • To periodically monitor the authority requirement such as premise business license, employee typhoid injection and food handling certificate
  • To inspect quality of food and service provided by café operator
  • To ensure periodic cleanliness carryout by cleaning company
  • To provide and obtain feedback on the performance of café operator
  • To ensure operation of cafeteria and vending machine is comply with KKM and university guideline
  • To ensure replenishment of stock for vending machine
  • Refreshment Management
  • Process refreshment booking order
  • Provide advice and guidance on refreshment booking
  • Inspect quality and quantity of banqueting service
  • Coordinate with Tea Lady on the booking
  • Coordinate and review invoices with refreshment reservation forms submitted by food operator before submitting them to Finance Department for monthly payment.
  • Collect feedback from requestors and present to food operator for service improvement or compliments
  • Pantry & Grocery Management
  • To execute procurement of beverage related items for pantry and supervises the Tea Lady
  • To manage supplies and procurement of beverage and pantry items
  • To ensure Tea Lady monitor cleanliness of meeting room and pantry. Tea Lady to ensure the tea maker machine functioned well.
  • To maintain the record of grocery usage and conduct stock take every 6 months
  • Any other duties as assigned by the Manager/Management

Job Requirements

  • 23 years in Logistic/Hospitality industry or related experience
  • Meticulous and multitasking
  • Good communication and listening skills
  • Ability to contribute to and work in teambased environment
  • Handling Pantry Items
  • Proficiency in Microsoft Office
