Responsibilities:

  • To comply with Standard Operating Procedures (SOP) as a guideline for mailroom, despatching, and reception services operations.
  • To monitor, coordinate and review the mailroom, dispatching and reception operations.
  • To liaise and coordinate with relevant department and students for any mailroom, despatching and reception services request and complaint.
  • To assist on liaise with any relevant stakeholders for feedback of student's preference towards mailroom, despatching, and reception system.
  • To assist and responsible for ensuring the incoming mail/parcel from couriers secure in mail room and handover to the right recipient/department.
  • To administrate and monitoring any development required for service improvement from time to time.
  • Staffing and supervise the despatching and receptionist
  • To plan and coordinate student helper planning and budgeting.
  • To assist for provide any related operational report and present to reporting line manager and Head of Department.
  • To participate in the budget planning for service improvement and cost management.
  • To execute and attend any adhoc task or other duties assigned by immediate superior and Head of Department.
  • Operationalising of daytoday mailroom, despatching and reception include problem troubleshooting and decision making when necessary.
  • To assist investigation involving any incident in mailroom, despatching and reception include the preparation of informative report and recommendation.
  • To assist and communicate with other stakeholders or any relevant/related department for investigation procedure.
  • To assist on monitoring all the availability and functionality for mailroom, despatching and reception equipment includes software and hardware. Provide the rectify documentation and recommendation.
  • To ensure the operation time compliance with official working hour for front office services (mailroom and reception).
  • To assist on implementation of initiatives to reduce waste, optimize packaging, and promote ecofriendly practices within the mailroom, despatching and reception.

Job Requirements:

  • Possesses minimum Bachelor Degree in Business Studies/Administration/ Management or any related field.
  • Good typing skill and analytical skill.
  • Good communication skill.
  • Good in customer service skill.
  • At least 23 years of working experience in the related field.
  • Have pleasant personality with good communication skill.
  • Excellent work atitude.
  • A team player with proactive in work.
  • Strong interpersonal skill and problem solving skills.
  • Able to work independantly with minimum supervision.
  • Hardworking, adaptable and willing to learn.
  • Able to multitask and work within tight dateline.
  • Willing to work on irregular hours, on weekend and Public Holidays, if required.

Desirable Requirements:

  • Those with qualifications and experience in leading campus/university Mail Services industry will be an advantage.
  • Other languages than English and Bahasa Malaysia will be an added advantage.
  • Knowledge and experience with campus/university Mail Services procedures and operating mailroom.
