Job Summary:


The Office Administrator is a meticulous and detail-oriented individual responsible for overseeing the management of all company documents, including policies, process flows, and guidelines.

Reporting directly to the MD & CEO, the incumbent will lead the coordination of updates and amendments to ensure accuracy, compliance, and accessibility across departments.

The Office Administrator will work closely with various teams to gather, review, and implement document changes, maintaining a centralized repository and tracking system to facilitate efficient document control processes.


Key Responsibilities:

Document Management

  • Establish and maintain a centralized repository for all company documents, ensuring accessibility, version control, and compliance with regulatory standards.
  • Organize and categorize documents according to departmental and functional requirements for easy retrieval and reference.

Document Change Coordination

  • Review proposed changes to documents, ensuring accuracy, consistency, and alignment with company standards and regulatory requirements.
  • Lead the approval process for document changes, tracking progress and ensuring timely resolution of outstanding issues.
  • Implement approved changes to documents, updating versions and communicating revisions to relevant departments.

Communication and Collaboration

  • Collaborate with department heads and crossfunctional teams to identify document change requirements and prioritize updates based on business needs.
  • Communicate changes and updates to relevant stakeholders, providing training or guidance as needed to ensure understanding and compliance.
  • Foster a collaborative and supportive environment for document control initiatives, soliciting feedback and suggestions for process improvement.

Quality Assurance

  • Conduct regular reviews and audits of document control processes to ensure compliance with company policies, regulatory standards, and best practices.
  • Identify areas for improvement and implement corrective actions to enhance efficiency and effectiveness of document management procedures.

ISO

  • Coordinating/supporting functional process audit and assessments
  • Support in Ensuring process compliance
  • Developing instructional and procedural documentation and presentations
  • Preparing ISO Documents and maintenance.
  • Work collaboratively with other department heads and stakeholders

Qualifications

  • Bachelor's degree in Business Administration, Information Management, or related field preferred.
  • At least 10 years working experience in document control, records management, or a similar role, preferably in a regulated industry with ISO Management System.
  • Strong understanding of document management systems, version control methodologies, and regulatory compliance requirements.
  • Excellent organizational skills with meticulous attention to detail and accuracy.
  • Effective communication and interpersonal skills, with the ability to collaborate and interact with stakeholders at all levels.
  • Proficiency in Microsoft Office suite and document management software.
  • Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fastpaced environment.

Pay:
RM5, RM8,000.00 per month
