A centralized provider of administrative, corporate secretarial, and support services to businesses, delivered through a robust in-house team.

Job Description

Operational Responsibilities:

  • Ensure team members strictly adhere to internal policies and SOPs.
  • Identify potential risks and advise Senior Managers and Directors, recommending necessary actions.
  • Ensure timely billing and collections, including capturing all incurred OPEs.
  • Maintain high standards of corporate governance and comply with statutory/regulatory requirements.
  • Maintain accurate filing of clients' documents/records in statutory records and conduct necessary record maintenance.
  • Conduct recruitment interviews/exercises and facilitate training sessions as required.
  • Meet prospective clients, prepare proposals, and quotations for new business opportunities.
  • Promptly relay information/messages from Senior Management to team members.
  • Support Senior Managers and Directors in their absence and undertake additional tasks assigned by Management.
P&L Responsibilities:
  • Provide guidance, leadership, and supervision to team members.
  • Communicate criteria and KPIs of respective positions to team members.
  • Manage and assess team members' performance.
  • Mentor and develop team members to enhance their professional skills.
  • Optimize team resources and oversee training and development initiatives, including providing guidance to team members.
People Management:
  • Consult with CEO, Directors, and Fellow Managers.
  • Coordinate effectively with other Divisions and ensure clear communication.
  • Assist in implementing strategies and policies within the CS Division under the guidance of Directors.
  • Provide timely feedback, convey staff concerns/requests to Senior Managers and Directors, and propose effective solutions.
Client Relationship:
  • Drive business development by acquiring new clients and identifying growth opportunities.
  • Manage client relationships, uphold rapport, and ensure high levels of satisfaction and retention.
  • Support cross-selling initiatives for other Vistra services.
  • Deliver services to clients according to agreed scopes and timelines.
  • Provide technical advice, solutions, and anticipate clients' evolving needs.

The Successful Applicant

  • Minimum of 5 years' relevant experience in corporate secretarial functions.
  • Possession of full ICSA qualification, graduation, or a bachelor's degree in Corporate Administration.
  • Previous experience working with public listed companies is advantageous.
  • Familiarity with Companies Acts, Bursa Malaysia Listing Requirements, CS Guidelines, and related regulatory frameworks.
  • Strong communication skills, analytical thinking, and problem-solving abilities.
  • Proficient in both verbal and written English communication.
  • Knowledgeable in filing statutory forms and adhering to Companies Acts requirements.
  • Capability to work independently and collaboratively as part of a team.
  • Excellent interpersonal skills, a sense of urgency, and the ability to thrive under pressure.
  • Demonstrated ability to understand and address customer and organizational needs, showcasing leadership qualities and confidence in client-facing roles.
