  • Manage the director's calendar, scheduling meetings, appointments, and site visits.
  • Handle correspondence, including emails, calls, and official documents, on behalf of the director.
  • Prepare technical reports, presentations, and meeting materials related to engineering projects.
  • Maintain and organize confidential project files, contracts, and company records.
  • Assist in drafting and reviewing proposals, tenders, and other engineering-related documentation.
  • Organize and coordinate internal and external meetings with clients, contractors, and government authorities.
  • Arrange travel, accommodations, and itineraries for the director and project teams.
  • Track project deadlines, follow up on deliverables, and ensure timely reporting.
  • Prepare meeting agendas, take minutes, and ensure follow-ups on action points.
  • Act as the primary liaison between the director and engineering teams, clients, and regulatory bodies.
  • Communicate with project stakeholders, including consultants, government agencies, and industry partners.
  • Draft and proofread technical correspondence, contracts, and legal documents.
  • Oversee daily administrative operations to ensure efficiency in the consulting firm.
  • Support project coordination, tracking engineering documentation, and assisting in project planning.
  • Ensure compliance with industry standards and company policies in all documentation.
  • Proactively manage and prioritize the director's workload to optimize productivity.
  • Identify challenges in project administration and propose solutions for process improvement.
  • Support decision-making by providing relevant data, reports, and industry insights.

Job Requirements

  • Bachelor's Degree/Diploma in Business Administration, Office Management, Engineering Management, or a related field.
  • Additional qualifications in engineering or construction management are an advantage.
  • Minimum 1 year of experience as a personal assistant, executive administrator, or similar role, preferably in an engineering consultancy or construction industry.
  • Experience in handling engineering documentation, project coordination, or tender processes is a plus.
  • Strong organizational and time management skills, with the ability to multitask effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools.
  • Familiarity with engineering documentation, contracts, and regulatory requirements.
  • Ability to handle confidential matters with professionalism and discretion.
  • Strong problem-solving skills and the ability to work independently in a fast-paced environment.
  • High level of attention to detail, accuracy, and reliability.
