**Job Summary:
The HR & Administrative Executive provides high-level support to HR Manager by monitoring attendance, collecting & preparing data for reports, handling information research and requests related to HR& Admin and responsible for ensuring training records and plan are maintain accordance with Company procedures and support corporate initiatives by performing Clerical HR/Admin & Training functions and others ad-hoc task as required from time to time.

**Duties & Responsibilities:
- greeting visitors, helping them navigate through an office, and supplying them with refreshments as they wait. In addition, they maintain calendars for appointments, sort mail, make copies, and plan travel arrangements. Support Manager utilizing the highest level of confidentiality and business professionalism.
- Develop positive working relationships and communicate effectively with team members, colleagues, senior level executives and other Executive Assistants.
- Administers Attendance system Direct /Indirect Line, projects and/or processes specific to the operating unit served.
- Manage confidential communications and files.
- Manage calendars, internal and external business meetings, conference calls etc.
- Draft and edit correspondence, spreadsheets, graphs, statistics, reports and presentation material.
- Follow-up on internal and external department requests.
- Process expense reports and reconcile data
- Work closely and effectively with the leader to keep him/her well informed of upcoming commitments and responsibilities.
- Anticipate future needs and deadlines.
- Participate in compensation surveys, ensures timely completion and accuracy, and analyzes the results.
- Assist in Audits and prepare data
- Assist in Checking Daily Attendance system
- Assist in preparing monthly Work Schedule in the Attendance System & cross check with Respective Department
- Assist / Support in Leave /Medical management.

**IN-HOUSE Contractor Management - DL**
- Checking monthly manpower invoices via Department for contractor’s attendance, OT, Salary & Claims
- Assist on the renewal of agreement between Masimo & Contractors.
- Assist to ensure that In-House contractors follow the Rules & Regulations Local Government and Masimo Corporate Work Ethic/Contract guideline on Manpower Contract, cost and workers personal detail for Masimo HR records.
- Arrange and assist monthly meetings between Masimo & In House Contractors.

**Training**:

- To prepare training schedule and coordinate training related to the quality system:

- Administers the training system to ensure compliance with QSR and ISO requirements
- Assist to updates training curricula by position and job role
- Ensure training system, training records and database is kept up to date
- Reports compliance issues as they arise and reports to senior Management periodically
- Coordinates training presentation and aids; organizes team training and system administration
- Performs other duties or special projects as assigned

**Minimum & Preferred Qualifications and Experience:
**Minimum Qualifications**:

- Minimum 5 years of executive HR /Administrative & Training support
- Advanced Skills in Microsoft Office products, including Word, Excel, PowerPoint, Visio, Internet & MS Team
- Works independently, deadline-focused, detail-oriented, self-motivated, and pro-active
- Excellent inter-personal skills and the ability to work with: Managers, executives, colleagues, departments, and clients
- Strong written and verbal communication skills
- Strong analytical and organizational skills
- Demonstrated ability to handle highly sensitive and/or confidential information
- Ability to react with appropriate level of urgency to situations and events that require quick respons

**Preferred Qualifications**:

- Experienced in the HR Management System
- Providing Executive support to all level in a large publicly held organization is preferable.

**Education**:

- High School/Certificate/Diploma/Degree or any other relevant certificate that may be considered in lieu of a Dip/degree

Physical requirements/Work Environment
This position primarily works in an office environment. It requires frequent sitting, standing, walking. Daily use a computer, phone and other computing and digital devices is required. May stand or sitting for extended periods when facilitating meetings or walking in the facilities. Ability to operate a motor vehicle and maintain a valid Driving license is required.

The physical demands of the position described herein are essential functions of the job and employees must be able to successfully perform these tasks for extended periods.
