JOB RESPONSIBILITIES - Manage and monitor all ICT contracts, budget, payment and expenses with the proper documentation and authorization in order for ICT to provide quality, effective and efficient ICT services, thus ensuring minimum business disruption. - Establish and maintain relationships with business units to proactively ensure their IT support issues are addressed. - Monitor contract EOL date for renewal process and execute all ICT payments processed are as per contractual obligations and supported with the appropriate documentation (invoices, purchase order, delivery order) in line with Group Standard Operating Procedures, in order to maintain ICT services continuity and minimise business disruption. - Detailed understanding of the contract terms and conditions to ensure the payments are as per contractual obligations. This is to ensure MMHE interest is protected before a payment is endered. - Verify that the change order procedures are adhered to and there is sufficient approved budget to meet the change order requirements. - Update OPEX/CAPEX utilization on monthly basis to track utilization is based on budget. - Review and analyse the payments or cost incurred (by charge codes, subsidiaries, vendors etc) against approved budget to ensure the overall Group-wide performance of ICT initiatives and budget utilization are within business plan. - Prepare the monthly and yearly ICT accrual expenses as per the accounting principles and budget utilization management reports for dissemination to relevant parties at the required frequency. - Generate GL report for utilization vs budget for MTD and YTD to check utilization report and identify for back charging and reclass following by issuing IOM. - Coordinate and assist in the development of MMHE ICT annual budget to support the business strategy and initiatives so as to ensure the overall Group-wide performance of ICT initiatives and budget utilization are within business plan. - Update details info (eg. actual invoice no, actual amount and posting date) and allocate to previous year accrual. - Provide monthly and yearly provision to reduce unbudgeted cost and allocate cash flow as schedule. - Manage and ensure vendors’ payments are processed as per vendor’s performance and as per contractual obligations in order to ensure minimum disruption of ICT services. - Verify direct bill and CPC on daily basis. Update payment tracking for recurring and for certificate of progress claim to ensure payment to be paid on time. - Identify appropriate recommendation, proposal and opportunities to improve Group ICT customer services to ICT users by enhancing the level of vendors’ performance in addressing ICT issues/concerns effectively and efficiently to minimize business interruption. - Prepare proposals and submit to superior for review. - Development of oneself into high motivated and high performing team in line with the Group's people development strategy. - Identify, coach, motivate and develop oneself to enhance competency and leadership skills in line with triple plus in the Corporate Agenda. - Dispatch and received document such as agreement, credit note, IOM and letter. Update PR/PO/SO/GRN listing and compile data by cost allocation for direct bill and recurring process. To ensure no pending document, PO/SO and invoice can process on time. REQUIREMENTS - Diploma or higher - At least 5 years of working experience and direct exposure to accounting/payment processes
