Job Description (Roles and Responsibilities)

**Main purpose of job**:
The role of the Administrative Officer is to provide administrative support for the Bilateral Diplomacy team in the British High Commission Kuala Lumpur, and to assist in the management of the team’s budgets. The Administrative Officer will also play a central role in planning and delivering ministerial and other high-level visits and events for the teams. They will provide support to other teams in the High Commission as necessary.

**Roles and responsibilities / what will the jobholder be expected to achieve?**:

- Provide administrative support, including organising internal and external meetings and transport and supporting team events. This will involve building strong working relationships with colleagues and contributing to the corporate wellbeing of the High Commission.
- Provide logístical support to both teams for important visits, including those of VVIPs and Ministers. This will include managing visit programmes and booking transport and accommodation.
- Monitor, maintain records and provide oversight of teams’ budgets and procurement activities, including liaising with suppliers and vendors. This will include budget forecasting, overseeing spending and providing advice to colleagues on financial processes.
- Maintain the teams’ contact data-bases to ensure that the High Commission keeps up strong connections with stakeholders.

Essential qualifications, skills and experience
- 2 years proven experience in a relevant role, preferably in the capacity of a personal or administrative assistant or similar role
- Highly organised, able to plan and prioritise effectively to deliver work to a high standard
- Excellent communication skills with language proficiency in English and Malay, both spoken and written
- Good at problem solving, adaptable and resilient

**This is advertised as a full-time, fixed-term of 12 months role to be based in Kuala Lumpur.**

**Working patterns**:
