Admin Assistant

**SCOPE**: Under the guidance, supervision and consent of the Executive Chef and within limits established by the Hotel policies and Procedures, responsible in the administration work of the Kitchen department and to assist the Executive Chef in daily dissemination of information, coordination among Kitchen sections and scheduling of Kitchen briefing/meeting, food tasting, appointments and other related job scope.
**JOB SPECIFICATION & RESPONSIBILITIES**
1. Responsible in the administrative aspect of Event Order logistic and information dissemination to all relevant parties in the hotel in regards to the operation of kitchen.
2. To attend any related meeting/ discussion related to administration or kitchen operational
3. Responsible in coordinating Market-List from kitchen outlets and follow through its required operational and approval procedures to meet its objectives.
4. To generate menus from Executive Chef for events, promotions and any other related projects to meet objective efficiently.
5. To do monthly timetable for kitchen staff.
6. To order Market List, Direct Purchase, Stock Requisition for operation daily item needed in IDB System.
7. To keep update annual leaves form and medical leave time to time.
9. Monthly inventory check in - guest supplies, kitchen equipment/utensil wise etc
10. To do monthly staff payroll - PCL salary and Staff overtime calculation
11. Submit petty cash claim - staff medical claim, purchased claim etc to Accounts & Finances
12. To issued Casual Staff Requisition form require for Banquet function.
13. Creating and distribution of documents to Outlet Chef, Executive Chef or Head of Department
14. To assist Executive Chef/Outlet Chef to key in recipe costing in IDB system.
15. To assist Executive Chef in daily meeting appointment.
16. To assist Executive Chef in yearly departmental budget.
17. To assist Executive Chef to control kitchen operational / market item to be used wisely - less wastage.
18. To be a part of Halal Committee in order to ensure all documentation related to JAKIM is been prepared accordingly.
19. To maintain proper filling system for all documentations.
20. To monitor daily staff grooming, hygiene and cleanliness
21. Involve in recruiting process such as - staff requirement briefing, kitchen staff training, spreading any related information for kitchen from outsource/ management
22. To manage new responsibilities from time to time required by the Executive Chef.
23. Performs other related duties as required by the Executive Chef / Management.
