JOB REPONSIBILITIES
1) Co-ordinate and attend key meetings and conferences (e.g. KPI coordinator, management meeting).
2) Prepare confidential and official correspondences, memorandum, agenda and minutes of meeting.
3) Provide administrative and/or confidential secretarial support to the Managing Director and related departments/areas as and when required.
4) Responsible for management and custody of records.
5) Ability in organizing systematic inventory of corporate affairs in the conduct of filing, research and market survey and other relevant search for information as directed.
6) Coordinate and work closely with the Senior Management to meet deadline.
7)Follow-up and deal with external legal affairs.
a)Support In Property & Administration (Segi Realty)
b) Tenancy Agreement (TA)
c) To prepare the Tenancy Agreement.
d) Arrange signing and stamping payment of Tenancy Agreement.
e) Stamping.

8) Update and filling of TA:

- Original copy keep in individual file
- Duplicate copy to Landlord
- 1 copy to Finance department

9) Monitor Tenancy Agreement expiry period.
10) Inform Finance department of the revised monthly rental.
11) Store Licenses
13) Monitor the yearly renewal of all licenses.
14) Requisition of Cheque / bank draft for renewal licenses.
15) Upon renewal, distribute original licenses to store for display, 1 copy for individual file.
16) Update in the Master Licenses List.
17) Segi Realty Properties
a) Safe keeping all Sale and Purchase Agreement and Tenancy Agreement.

**REQUIREMENTS**:

- Experience in handling meeting minutes
- Able to communicate and write in English, Bahasa Melayu, Mandarin, Cantonese and Hokkien.

Schedule:

- Monday to Friday

Ability to commute/relocate:

- Kelana Jaya: Reliably commute or planning to relocate before starting work (required)

**Education**:

- Diploma/Advanced Diploma (preferred)

**Experience**:

- Secretary: 1 year (preferred)

**Language**:

- English (preferred)
- Mandarin (preferred)
