Administration
- In charge of stock replenishment of photocopier machine toner, stationeries, pantry, uniform, nametag, lanyard, toiletries etc.
- Manage Company Car and Warehouse Van Puspakom inspection i.e., roadtax and insurance renewal and maintenance
- Monitor cleaner and security guard according to their job scope
- Manage office equipment, facilities and assets of the Company
- Liaise with various vendors relating to office equipment and facilities of the Company i.e., meter reading, new contract, quotation etc.
- Manage all the repairing and fixing work at the Company facilities
- Ensure all office maintenance carried out as per Maintenance Schedule i.e., air-cond, water filter, lift etc.
- Ensure all contract or maintenance agreement updated and renew accordingly
- Checking all invoices related to administration work.
- Handling of registration on employee benefit ie petrol, parking, mobile phone etc
- Update parking list and Extension list accordingly.
- Issue PR, request quotation and check invoices for all administration matters
- Request and reconcile Petty cash for PandA Department
- Assisting in preparing Employee/Staff Asset documents.
- Preparation of all necessary items for new employee ie access card, uniform, stationeries, computer, parking form and etc.
- Handling employee resignation handover ie access card/parking card, uniform etc
- Safety and Health
- Ensure CCTV is functioning and monitor activities at the Office
- Manage and Monitoring Covid-19 case and ensure employee get treatment accordingly i.e., Shiruto etc.
- Monitoring the condition and expiry date of Fire Extinguisher and other related fire alarm system within the Company facilities.
- Manage Pest Control and Sanitization at Company facilities
- Involve in any Safety and Health activities
- Employee Engagement
- Assist in organizing company special function/event and employee engagement activities.
- Handling table and chair arrangement for event/meeting/training
- Handling food ordering and arrangement for Company event
- Learning and Development
- Assist in administration matters of training program i.e., food and beverage and training venue preparation
- Compile all relevant quotations and modules for selected training program
- Prepare the proposal for relevant training
- Ensure all the training organizer documents and payment are in order
- Reports
- Handling all administration report
- Ensure on compliance of all ISO requirements under your scope
- Perform any others task required from time to time by immediate superior of Head, PandA

**; Requirements**:
- Bachelor’s Degree or Diploma or equivalent
- Able to multi-task, work independently and good team player
- Meticulous, detailed and analytical at work
- Initiative and good interpersonal and communication skills
- Excellent organizational skills
- Has initiative to propose and enhance the current practices
