JOB SCOPE

The Officer, Human Resources & Administration is responsible to provide effective and efficient support in people and administrative matters of the company. In some areas, you will manage a project assigned. You shall also be responsible for administration related assignments given by your superior as well as to assist the operation site when scheduled. You may also be the liaison related matters with the government. The below reflects the duties and responsibilities.

**DUTIES & RESPONSIBILITIES**

**1. Recruitment & Staffing**
- Preparation of office documentation related to human capital record keeping.
- Responsible for coordination with the line managers, communication, and implementation and/or related work on recruitment and staffing exercise.

**2. On Boarding and Documentation**
- Develop, plan, and conduct on-boarding programme for new employees to ensure that they feel welcome and prepared in their new positions with confidence and enough resources to make an impact to the organization and to foster positive attitude toward organizational objectives. The activities include:

- Prepare Staff Introduction Letter for new staff to open a bank account where necessary.
- Create account for staff in HR database.
- Prepare telephone extension list, duty schedule when applicable.
- Ensure return of new staff checklist and any other HR forms for documentation.
- Create new personal files
- Assist in opening bank accounts, EPF, tax etc.
- Serve as a link between management and employees by handling questions, interpreting, and administering and helping resolve work-related problems.
- Plan, and work on all staff matters related to employment, compensation, labor relations, and employee relations.
- Maintain records and compile statistical reports concerning personnel-related data such as start date, employment pas, hire date, qualification, experience, transfers, performance appraisals, and absenteeism rates.
- Ensure all information are up and maintained regularly in the HR database and the Employment Master, including removal and deactivation in cases of resignation etc.
- Resolve grievances or queries that any of the employees have. Escalate to the right level depending on the nature of the grievance or issue.
- Manage insurance and other Compensation and Benefits related activities

**3. Training and Development**
- Prepare the training needs analysis and assessment, training calendar and its related work between the project manager and their subordinate.
- Processing all related training details and materials whenever required.
- Liaising with HRDF, external training providers and internal parties while processing the training for the whole company.
- Responsible for all other related work on training and development.

**4. Compensation and Benefit**
- Providing essential support and essential compensation and benefit for the company.
- Providing the required comparison and benchmarking exercise for compensation and benefit.
- Responsible for performing all related work for under compensation and benefit.

**5. Document Controller & Company license/permit**
- To monitor and renew all company registration and licenses with relevant department and authorities such as PKK, CIDB, JPP, TNB, IWK, MPS, Diesel, ISO, DOSH and et.
- Act as Document Control Centre for Quality Management System and Safety & Health System
- To organize on safekeeping all departments’ handbooks and SOP.

**6. Employee Relations and Labour**
- Responsible for assisting on employee relations and labour issues for the company.

**7. Administrative**
- Carry out reception duties in the absence of the receptionist/admin staff, as and when necessary.
- Communicate with people outside the organization, representing the organization to customers, the public, government, and other external sources.
- Have the knowledge of company insurance and the processes.
- Provide feedback to the management to enhance a better and cordial working environment.
- Organise corporate events such as company dinner, corporate trip, family day etc.
- Encourage and build mutual trust, respect, and cooperation among team members.
- Perform any other duties relating to the above as may be assigned by the supervisor from time to time.

**Job Type**: Contract
Contract length: 12 months

**Salary**: RM2,000.00 - RM2,600.00 per month

**Education**:

- Diploma/Advanced Diploma (required)

**Experience**:

- Human Resources: 3 years (required)
- Human Resources Management: 1 year (preferred)

**Language**:

- Mandarin (preferred)
- Bahasa (preferred)
