Position Overview The responsibilities include, but not limited to, all aspects of contracting for EXO Malaysia. Assisting Inbound department (and other departments) when required in aspects of contracting. Providing contracting information, sending requests to suppliers and following up with them to get the full answers for inbound departments. Responsibilities: - Collect contracts at the right time; negotiated rates with good terms and conditions as much as possible. - Check all contracts to ensure the accurate & adequate information is included before sending to General Manager for signing. - Make sure that all contracting activities are carried out in accordance with legislation & company policy. - Analyse opportunities for opening of new opportunity for contracting database of EXO Malaysia. Sustainability - Understand responsible tourism principles - Include the sustainability performance of suppliers as a selection criterion - Understand EXO Responsible Travel policy, Wildlife Code of Conduct, Childsafe policy and Ethical - Ensure EXO products are implemented and developed in line with responsible tourism policies. With Suppliers - Negotiate with supplier to provide with best available rate and special offers: for barter agreements, allotment, release periods, terms conditions of hotels; both new properties and re-contacting existing agreements. - Concentrate on driving price down for tactical promotions over low months. - Assist Inbound and Operations Departments in handling complaints when it comes to hotel/supplier complaints With Inbound Department - Fully assist the Inbound Managers & TCs as and when required. Sometimes, this may include assisting the rest of the departments in all aspects of contracting. - Answer and provide contract information to all Inbound departments to ensure the information are clear and update always on server for Inbound to refer; inform all necessary departments if there is any change in rates or any promotions; and, support Inbound department to send requests to suppliers and follow up with them to get the full answers. - Assist in the creation of presentations or introduction of suppliers for all inbound when and where necessary. - Support Inbound and Operations Departments in handling complaints when it comes to hotel/supplier complaints With Product Department - Work closely with the Product department to ensure the appropriate suppliers are being contracted; ensure the uploaded database/information/rates are accurate. including safety checks, insurance checks and so on. - Coordinate with Tourplan to ensure that all contract information has been input and updated on database as well as good filling system. Report - Periodical report to GM can be weekly briefing or monthly written report on highlighted activities of Contract department.
