Customer Service Executive

**Job Summary and Key Objectives**
**Working closely with next line of reporting to**:
- Market the company and its products.
- Secure orders.
- To ensure all customer order received, verified, processed, acknowledged, confirmed and despatched in a correct and timely manner.
- Provide technical support to customers.
- Provide good customer service and attend to customer complaints professionally.
- Prepare sales reports for the Management.
To work closely with the operational & support team in Camfil Malaysia to achieve the company’s organizational goals and objective, and supporting the company’s business growth plans.
**Key Responsibilities include**:
**General**:
- To assists Senior CSG Executive and Assistant Manager - CSG on matters related to day-to-day operation within the department.
**Quotation**:
- To liaise with customer on all inquiries.
- Checking the specification, pricing and delivery time on products made in Camfil Malaysia and sourced within the Group.
- To generate Quotation.
**Processing Orders**:
- Generate Sales Order / Order Confirmation and Purchase Order and other related documents involved in order processing i.e. shipping instructions and other technical inquiries forms.
- Liaise with Planners and other support team on status of ongoing of orders manufactured in Camfil Malaysia.
- Liaise with CSG within the Camfil Group on status of on-going orders sourced within the Camfil Group.
- Liaise with customer on on-going orders and deliveries.
- Approving of Order Conformation, & Customer Purchase Order.
**Monitoring of Orders**:
- Monitoring the delivery of orders and updating Sales Order Master List.
- Responsible to co-ordinate shipping arrangement.
- To co-ordinate and negotiate with Camfil Malaysia's appointed forwarders on matters related to shipment.
**Shipping and Invoicing**:
- Coordinate with internal support team on shipment arrangements.
- Prepare shipping documents.
- Liaise with appointed forwarders and custom authorities on export/ local sales declaration.
- Generate Invoices.
**Accounts**:
- Prepare invoices and approving of invoices.
**Training**:
- To provide training on products and matters related to customer service.
**Reporting**:
- To review and report on Sales Order Monitoring.
- Other reports related to Department’s target.
**Others**:
- To be responsible to carry out the duties in accordance with Quality, Health, Safety, Environment, Energy and Business Continuity Policy, Procedure, and Standard Operating Procedures.
- To perform any other duties as requested/ assigned by your superior from time to time.
**Authority & Control**:
**Has the authority on**:
- Quotation, not exceeding MYR 300,000.
- Customer Purchase Order, not exceeding MYR 300,000.
- Purchase Orders meant for customers (Trading), not exceeding MYR 50,000.
- Order Confirmation, not exceeding MYR 50,000.
- Other matters pertaining to customer’s Purchase Order or Contract, not exceeding MYR 50,000.
- Approving of Invoices, not exceeding MYR 50,000 (to follow CSG Internal Memo).
- Matters related to shipment.
- Custom Return.
- Sales Order and invoices.
- Shipping documents and custom return forms.
**Requirements**:
- Relevant Certificate/ Diploma/ Degree from higher learning institution or equivalent competence gained in other ways.
- Minimum 3-5 year working experience, preferably with prior experiences from manufacturing or industrial industry.
- Proficiency in using Microsoft Office, Enterprise Resource Planning (ERP), LEAN manufacturing tools, eDeclare, ePCO.
- Exposure in International Commercial Terms, Import/ Export Procedures, International Trade Compliance.
- Familiar with requirements, responsibility, roles and function of a License Manufacturing Warehouse (LMW) under Malaysia Custom Act.
