Executive Support and Operations Coordinator

We are seeking a detail-oriented and proactive Executive Support and Operations Coordinator to join our dynamic team at FastLaneRecruit. This role is pivotal in ensuring smooth business operations by providing administrative support, coordinating communication across teams, and managing essential business functions.

Key Responsibilities- Administrative Support: Provide comprehensive administrative support, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Communication Coordination: Serve as a key point of contact for internal and external communications, ensuring timely and accurate information flow.
- Documentation Management: Prepare and manage documentation, reports, and presentations to support various business functions.
- Event Planning: Assist in the planning and execution of company events, virtual meetings, and team-building activities.
- Cross-Functional Collaboration: Coordinate with cross-functional teams to ensure smooth project execution and timely delivery of tasks.
- Filing System Management: Manage the company's filing system, ensuring that all records are organized and easily accessible.
- Customer Service: Handle customer inquiries and provide excellent customer service, addressing any issues promptly and professionally.
- HR Support: Assist in HR functions such as onboarding new employees, maintaining employee records, and coordinating payroll activities.
- Office Supply Management: Monitor and manage office supplies and inventory, placing orders as needed.
- A minimum of 2-3 years of experience in an administrative, business support, or similar role.
- Diploma or degree in Business Administration, Management, or a related field is preferred.
- Good command of Chinese, Cantonese, and English, both written and spoken.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), and experience with project management and communication tools like Slack, Asana, or Trello.
- Strong organizational and multitasking abilities, with a keen eye for detail and the capacity to manage multiple priorities in a fast-paced environment.
- Excellent communication and interpersonal skills, with the ability to interact effectively with team members and clients from diverse backgrounds.
