Administrative Lead to COO

About the Job:
The Personal Assistant to the Chief Operating Officer is responsible for providing administrative and operational support to ensure the effective functioning of the executive office. This role requires a high level of organization, discretion, and the ability to manage multiple priorities independently.
Main Responsibilities:
- Manage the COO's schedule, including appointment and meeting coordination.
- Assist with errands and tasks as required to support the COO's activities.
- Prepare materials, reports, and presentations for management meetings.
- Organize meetings, including agenda preparation and minute-taking.
- Handle confidential information with utmost discretion and professionalism.
- Perform general office duties, such as filing and ordering supplies.
- Draft and prepare documents, including letters and memos, as directed by the Management.
- Take on additional tasks and responsibilities as assigned to support business operations.
Key Qualifications:
- Bachelor's degree in Business Administration, Management, or a related field.
- At least 3-5 years of experience as a Personal Assistant, Executive Assistant, or similar role, ideally supporting C-suite executives.
- Excellent organizational and time management skills.
- Strong communication skills in English and Bahasa Malaysia.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Discretion and integrity in handling confidential information.
- Attention to detail and problem-solving skills.
- Proactive mindset.
