Chief Operating Officer Support Role

About the Job:

The Personal Assistant to the Chief Operating Officer is responsible for providing administrative and operational support to ensure the effective functioning of the executive office. This role requires a high level of organization, discretion, and the ability to manage multiple priorities independently.

Main Responsibilities:

  1. Manage the COO's schedule, including appointment and meeting coordination.
  2. Assist with errands and tasks as required to support the COO's activities.
  3. Prepare materials, reports, and presentations for management meetings.
  4. Organize meetings, including agenda preparation and minute-taking.
  5. Handle confidential information with utmost discretion and professionalism.
  6. Perform general office duties, such as filing and ordering supplies.
  7. Draft and prepare documents, including letters and memos, as directed by the Management.
  8. Take on additional tasks and responsibilities as assigned to support business operations.

Key Qualifications:

  • Bachelor's degree in Business Administration, Management, or a related field.
  • At least 3-5 years of experience as a Personal Assistant, Executive Assistant, or similar role, ideally supporting C-suite executives.
  • Excellent organizational and time management skills.
  • Strong communication skills in English and Bahasa Malaysia.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Discretion and integrity in handling confidential information.
  • Attention to detail and problem-solving skills.
  • Proactive mindset.
