Job Description:

  • Coordinate training programs, workshops, and seminars for employees, ensuring timely completion of mandatory training sessions.
  • Manage employee training records, guaranteeing compliance with company policies.
  • Administer insurance policies, serving as the primary point of contact for all insurance-related matters, including employee and corporate coverage.
  • Liaise with insurance providers to ensure up-to-date policies, addressing any issues and maintaining smooth policy administration.
  • Assist with recruitment, onboarding, and compliance for local and foreign interns/apprentices.
  • Handle work passes, visas, and regulatory requirements for foreign candidates.
  • Source and evaluate IT service providers for server hosting, software development, and data security, establishing service agreements outlining responsibilities and expectations.
  • Communicate with IT service providers, ensuring seamless day-to-day interaction, service support, and issue resolution.
  • Support ISO certification implementation and maintenance, ensuring compliance through documentation, internal audits, and training.
  • Liaise with external auditors and departments to facilitate audits, address non-conformities, and report on ISO performance metrics to management.
  • Maintain accurate filing systems for all documents.
  • Take minutes, prepare reports, and presentations as needed by management.
  • Manage executives' calendars, scheduling appointments, meetings, and coordinating logistics.

Required Skills and Qualifications:

  • Degree in Business Administration, Human Resources, Accounting, or related field.
  • Proven experience in administrative or coordinator roles, preferably with exposure to L&D, insurance, or HR-related tasks.
  • Excellent organizational and multitasking skills.
  • Strong communication skills (written and verbal).
  • Fluent in English and Mandarin.
  • Ability to generate professional meeting minutes and presentations.
  • Confidentiality and discretion when handling sensitive information.
  • Strong problem-solving abilities and attention to detail.
