**General Administration Issues**
- Liaising with internal and external agencies for smooth administrative functioning.
- Perform administrative work in directing and supervising the day-to-day management of the office.
- Maintain general office files including job files, vendor files, and other files related to the company's operation.
- Coordinate with the respective department if any damage/broken/complaint on company assets.
- Handle the Renewal of Road Tax, Insurance, and PUSPAKOM for all general and motor vehicles.
- Handle and manage company cars (maintenance, list of company-owned vehicles, and pool car assignment request).
- Monitor and verify the utilization, bills, payment, and usage of Petrol Card & Touch and Go Cards.
- Attend to the ad-hoc breakdown of the machines before calling the respective vendors, e.g. photostat machines, etc.
- Responsible for maintaining the master set of keys for the office block.
- Handle new purchase distribution and removal of old physical office furniture and office equipment during installation, relocation, and disposal.

**Contract Services**
- Maintain, monitor, and manage the department’s contract/agreement accordingly.
- Highlight/remind any related department two (2) months in advance before the agreement expires.
- Liaise with the Legal Department on contract agreement documentation.

**Reception and Dispatch or Delivery**
- Assist in monitoring the incoming and outgoing mail, parcels, and any documents at the receptionist desk.
- Assist in internal and external dispatch/ delivery services for the Group when required.

**General Phone Line and Internet Connection**
- Ensure the listing of the company handphone line is maintained accordingly.
- To sort out any issues that arise and solve the issue.

**Monitor Project, System, and Renovation**
- Manage and coordinate the office renovation, maintenance, repair, equipment procurement and any administration project done according to the approved layout plan.
- Prepare work permits for the contractor and coordinate with health and safety on safety issues.
- Ensure the department’s SOP and documentation are updated, closely monitor any checklist, and report for maintenance and services.

**Compliance**
- As the person in charge of the storage room temperature according to Good Distribution Practice for Medical Devices (GDPMD) under Act 737 2012 requirements.
- Ensure all processes or activities adhere to established Standard Operating Procedures and Good Distribution Practices (GDP), Good Manufacturing Practices (GMP) and ISO guidelines to ensure the highest standards of quality, safety, and regulatory compliance across the manufacturing and distribution processes.
- Compliance with Good Distribution Practice for Medical Devices (GDPMD) under Act 737 2012.
- To comply with GDPMD in the Supply Chain Management process.
- Update Hazard Identification, Risk Assessment, and Control Measures (HIRAC) as and when required.
- Record the maintenance activity for the facilities in Hanan Medicare Sdn Bhd, together with its subsidiaries and affiliates.
