Admin Personal Assistant

**Admin (Development)**
1. Establish and maintain an organized filing system for departmental records, including project documentation, reports, and relevant materials.
2. Provide comprehensive administrative support to project teams, ensuring efficient operations.
3. Assist with regulatory submissions related to land matters, permits, licenses, and clearance letters, including the Certificate of Completion and Compliance (CCC), where applicable.
4. Contribute to the preparation of project proposals, presentations, and documentation.
5. Support business research efforts, asset management, data analysis, and oversee banking tasks.
6. Assist with corporate and business activities, including record keeping, scheduling, communication, research, and analysis.
7. Ensure all administrative activities are conducted with strict confidentiality, adhering to company policies and protocols.
**Personal Assistant (PA)**
1. Provide high-level administrative support to the Director by managing their calendar, appointments, and correspondence, with a focus on time management and prioritization.
2. Act as the primary contact for the Director, professionally handling communications and inquiries.
3. Coordinate internal and external meetings, events, and travel arrangements, ensuring all logístical details are managed efficiently.
4. Draft, proofread, and edit communications, reports, and documents for the Director, maintaining accuracy and clarity.
5. Maintain confidential records, files, and documentation, ensuring accessibility and up-to-date organization.
6. Oversee communication and coordination between the Director's team and stakeholders, ensuring tasks are executed on time.
7. Assist with special projects, corporate events, and key initiatives in alignment with organizational goals.
8. Handle personal tasks for the Director as needed, maintaining discretion and confidentiality.
**Requirements**:
- Minimum 2-3 years working experience with a housing development
- Familiar with workflow for planning of housing development project
- Meticulous, prompt follow up with initiative, good organizational and time management skills
- Pleasant personality with excellent interpersonal and communication skills
- Computer Literate in Microsoft Office
- New media savvy, accountable to update, maintain and moderate websites, social network sites i.e FB, Youtube, Twitter, etc.
- Able to work independently
- Must have own transport.
