**JOB SUMMARY**
This role provides administrative support to the Market Vice President Malaysia and the Country Directors team, ensuring seamless departmental operations and the successful achievement of business goals and priorities. Additionally, this role encompasses a variety of office administrative tasks and coordinates office activities as assigned.
**CANDIDATE PROFILE**
**Education and Experience**
- Required_
- Diploma in Business Administration or its equivalent, with at least 5 years of relevant experience.
- Exceptional organizational ability, with strong oral and written communication skills.
- High level of confidentiality and interpersonal skills.
- Preferred_
- A university degree is preferred.
- Experience in the hospitality industry or a related field.
**CORE WORK ACTIVITIES**
- Manage the team’s calendar, including scheduling meetings, appointments, and other engagements.
- Arrange domestic and international travel itineraries, including flights, accommodations, and ground transportation.
- Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
- Ensure that all required materials for meetings are well-prepared and delivered in a timely manner.
- Assists in the preparation of various presentations, reports and updates as required.
- Oversee and process expense claims for the Market Vice President Malaysia and Country Directors using Concur, ensuring accuracy and compliance with company policies.
- Manage office administrative functions, including maintaining office and pantry supplies, handling incoming and outgoing mail, and overseeing vendor management.
- Collaborate with the APEC HR Services team to organize and facilitate office associate engagement activities.
