The Sabah Operations Executive is responsible for overseeing tendering processes, project billing, purchasing, vendor registration, and general administrative tasks related to all Sabah projects.

This role ensures the smooth execution of operations, timely billing, and compliance with project requirements while supporting the management, sales, and project teams. The Operations Executive plays a critical role in project coordination, financial tracking, and ensuring administrative efficiency to support successful project execution.

1. Enter tender details into the quotation template and cost sheet.

2. Input supplier prices into the cost sheet and forward to Sales/Project Engineer or Management Representative for price negotiations.

3. Print tender documents/Request for Quotation (RFQ) and manage proper filing.

4. Attend Pre-Award/Kick-Off meetings with customers when required.

5. Prepare supporting documents for tender submissions, including tender deposits and company profiles.

6. Ensure validity and accuracy of documents required for tender submission.

7. Monitor potential client tender listings (e.g., Sabah Electricity Sdn Bhd) and highlight opportunities to the management team.

8. Monitor and ensure timely billing to customers and supplier invoices.

9. Verify and ensure accuracy of billed amounts to customers and suppliers.

10. Maintain accurate records of customer and supplier billing transactions.

11. Follow up on project progress payments and ensure timely customer payments.

13. Liaise with Sales/Project Engineer & Operations Manager regarding project billing and claims.

14. Coordinate with subcontractors on project matters and ensure timely documentation and approvals.

15. Oversee office administrative work, including documentation, correspondence, and filing.

16. Maintain a structured record of all incoming and outgoing correspondences for easy follow-up.

17. Organize and maintain project and business opportunity information in company servers/storage system

18. Oversee the maintenance of office equipment and ensure smooth operations.

19. Monitor and control office utilities usage for cost efficiency.

20. Assist in vendor registration, Pre-Qualification (Pre-Q) tenders, and office registrations.

22. Monitor and maintain a list of required industry-related training and highlight to Management Representatives.

23. Support tender documentation, payment processing, and project-related administration.

24. Assist in any other operational tasks assigned by management from time to time.

25. Carries out other special projects and ad hoc tasks assigned by supervisors and management.
