As we continue to grow and expand our operations, we are looking for a dynamic and proactive **Executive Assistant to Director** to join our team.
This role is ideal for someone who are eager to grow their career by working closely with senior leadership in a dynamic and collaborative environment and is also interested in contributing to logistics and system improvements within our organization.
Key Responsibilities:
**Project Coordination**:
- Oversee the development of internal projects by managing timelines, coordinate with different departments, and ensure successful project completion.
- Conduct research and provide insights to assist the Director in decision-making.
**Liaison Role**:
- Act as a point of contact between the Director and internal staff, departments, and external stakeholders.
- Help manage access to the Director by prioritizing requests for time and attention.
**Strategic Support**:
- Collaborate with the Director and provide assistance in strategic discussions, offering your ideas and insights.
- Receive mentorship and guidance on how to contribute effectively to business goals.
**Operations and Facilities Management**:
- Oversee the day-to-day operations of the office and warehouse, ensuring smooth and efficient functioning.
- Coordinate and manage maintenance and repair of equipment, machinery, and the building, liaising with relevant suppliers and contractors.
- Ensure the office and warehouse environments are safe, well-maintained, and compliant with all relevant regulations.
- Assist in budget management for facilities, including monitoring expenses related to repairs, supplies, and other operational costs.
- Support the Director in operational planning and help implement strategies to improve efficiency and reduce costs.
**Qualifications**:
- 1-2 years of experience as an Executive Assistant, Operations Coordinator, or in a similar role.
- Proficiency in Mandarin, English and Bahasa Malaysia is required.
- Strong organizational and time management skills with a willingness to learn and grow.
- Basic understanding of operations and facilities management is a plus, but not required (training will be provided).
- Good communication skills, both written and verbal, with a professional yet friendly approach.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) is a plus, and familiarity with facilities management tools is an advantage.
- A positive, proactive, and detail-oriented mindset, with the ability to work well with others and take initiative.
