We are seeking a detail-oriented and strategic Procurement Executive to streamline and oversee purchasing workflows and documentation across the company, particularly involving operational support such as Purchase Requisition Forms (PRF), fleet card usage, maintenance requests, petty cash, and outsourced works.

This role requires close collaboration with suppliers, vendors, and internal departments, including operations, HR, and the accounts team, to ensure smooth procurement operations, cost control, risk mitigation, and supplier performance. The Procurement Executive also plays a crucial role in managing documentation flows and compliance with approval processes.

**Key Responsibilities**:

- Manage and coordinate procurement documentation flows (e.g., PRF, fleet card, petty cash, vehicle maintenance forms, outsource vendor requests) from requester to approver to finance.
- Ensure all documentation is accurate, complete, and compliant with internal SOPs before submission to Finance for processing.
- Act as the main liaison between requester, approver, procurement, and accounts, ensuring clarity and preventing miscommunication or delays.
- Standardize and improve form formats to support clearer expense categorization (e.g., per project, department, and branch).
- Track and monitor receipt submissions, particularly for advance payments, and follow up on outstanding supporting documents.
- Conduct supplier sourcing and market research to obtain the best pricing, quality, and service terms.
- Build and maintain strong supplier relationships, evaluate supplier performance, and ensure on-time delivery and service quality.
- Support the development and enforcement of procurement SOPs and approval workflows within the company.
- Support segregation of procurement costs by project/site and branch reporting.
- Identify procurement risks and propose mitigation strategies to avoid disruptions.
- Participate in sourcing strategy development to deliver long-term value and operational efficiency.

**Qualifications**:

- Bachelor’s degree in Business Administration, Supply Chain, Engineering, Accounting, or a related field.
- Minimum of 2 years of experience in procurement, preferably in **contractor-based**, **security**, or **facility services** companies.
- Knowledge or experience in project-based costing and supplier documentation is an added advantage.
- Proficient in Microsoft Excel, Google Forms/Sheets, and basic procurement tracking systems.
- Excellent organizational and coordination skills — able to handle document trails and procurement queries across departments.
- Strong attention to detail, proactive in communication, and comfortable working with multiple teams.
- Ability to identify process gaps and propose improvements to procurement workflow.

**Job Types**: Full-time, Fresh graduate

Pay: RM2,300.00 - RM2,500.00 per month
