**Summary**:
Manage administrative tasks, handle inquiries and prepare quotations for car rental, tours, coach, and chauffeur services, oversee petty cash control, payment collections, invoicing, supplier payments, and provide monitoring and support to the operations team
Job Description:
- Manage petty cash control, including submission and clearance of transactions.
- Monitor banking activities, ensuring the MBBPC is updated and payment collections are matched accordingly.
- Prepare supplier payments and liaise with vendors for any required follow-ups.
- Oversee the dispatch and courier services at the office.
- Monitor and maintain office equipment, stationery, and telecommunication systems.
- Prepare monthly staff claims and expenses, as well as office utilities bills.
- Verify Touch 'n Go transactions and petrol claims for accuracy.
- Provide support by issuing work orders in the absence of the Operations team.
- Attend to inquiries promptly and professionally.
- Coordinate and update the Operations Team regarding vehicle movement, status, and location to ensure alignment with the yard and movement records.
- Assist with check-in and check-out procedures as needed.
- Handle customer service and retail inquiries, prepare quotations, update the Carpro system for quotations, reservations, and agreements, and manage invoices, receipts, billing, and payment monitoring to ensure outstanding balances are addressed.
- Prepare invoices, receipts (OR), accounts receivable (AR), payment requests (PR), handle customer billing, and monitor payment status to ensure any outstanding balances are tracked and resolved.
Requirement:
- SPM or Diploma in Business Administration (preferred)
- Min. 3 years working experience in Office Administration & Operation
- Skills: Microsoft Office Excel / Words
- Able to multitask and willingness to learn. Good attitude and well discipline.
- Able to drive with valid driving license.
