Branch Operations Analyst

**Role Summary**:
The Branch Operations Operator is responsible for **fund administration duties **to ensure timeliness and completeness in funds monitoring including performing all relevant controls within own area of responsibility. They undertake time critical, complex, or regulated tasks and must ensure the timely escalation of operational, regulatory and other risks to the line manager and functional leads as appropriate. The Branch Operations Operator may also be responsible for building and managing relationships with the front office and other internal and external parties at an appropriate level, around the more time critical, complex or regulated tasks.
**Roles and Responsibilities**:
1. Review the management and operation of funds / funds’ structures to ensure that they are being managed in accordance with the relevant rules and regulations which includes:
- Post monitoring of investment limits of the Trustee’s funds;
- Monitoring of the transactional activities of fund managers to ensure compliance with regulatory and client-mandated investment guidelines;
- Review the UTF, PRS and ETF reports of the clients for SC reporting;
- Monitoring of the Shariah compliance status for the stocks held by the Trustee’s Islamic funds;
- Escalate all non-compliance and risk matters to Senior Management, including compiling reports to the Board of Directors.
2. Monitor deliverables of the service providers via the monthly KPI reporting and to conduct monthly KPI meeting as well as the preparation of the meeting minutes. Conduct review of the yearly update of the service providers’ SLA and annual service providers' review.
3. Conduct yearly due diligence / review on fund managers to identify any risks and concerns in accordance with the Guidelines and to perform site-visit to clients’ office. Prepare the management reporting to Trustee.
4. Ensure adherence to the daily checklist, internal control processes and client’s SLA which includes:
- Review all exceptional items on the NAV variances of the Trustee’s non-direct funds;
- Conduct bi-monthly NAV review performed by the CSO team;
- Audit preparation and support;
- Review the processes and controls of the operating environment of DTMB to ensure that they remain adequate and effective in addition to compliance to Bank’s guidelines / policies, customer / market requirements and best practices;
- Yearly review of Trustee’s KOP.
5. Maintain good working knowledge of the regulatory requirements of Malaysia on unit trust, PRS, ETF and SRI funds and any new fund industry developments.
6. Maintain good working relationships with clients, including dealing with queries in a positive and proactive manner.
7. Monitor and review reports submitted by the external fund manager in accordance with the Guidelines.
8. Prepare and provide MIS for board paper reporting and any ad-hoc reporting.
Assist to organize training and personal / technical development of staff, as required.
9. Back-up personnel for call back process for Trustee Operations.
**Job Requirements**:
**Experience/Exposure**
- Effective communication skill (oral and written)
- Ability to perform multi tasking and team work oriented.
- Ability to work independently with mínimal supervision.
- Ability to work well under pressure with tight turn around time and meeting the relevant deadlines.
**Education/Qualifications**
- Bachelor Degree or equivalent
- Related or equivalent working experiences in Banking/Finance industry
