**Responsibilities**
- Provide templates and guidance for the authorization of changes, and to supply the other Service Management processes with information on planned and ongoing changes.
- Develop and maintain a schedule of planned approved changes for BAT to review, in relation to the Operational Services
- Establish change priority approach and classifications (impact, priority, risk) and change authorization process and document in the Operational Service Manual
- Participate in BAT’s project portfolio lifecycle process to assess impact of large project or program proposals to identify possible issues relating to the Operational Services
- Log requests for change for the Operational Services, review and filter out requests which do not conform to the Change Request form or do not contain all information required for assessment or which are deemed impractical, and inform the requestor for remediation.
- Assess, authorize and implement an Emergency Change for the Operational Services as quickly as reasonably possible. This process is invoked if normal change management procedures cannot be applied because an emergency requires immediate action.
- Verify the required level of authorization for the assessment of a proposed change
- Receive and document all Operational Services Service Requests, releases and Demand Requests and classify proposed change(s) to the Operational Services, embedded in such requests, wherein such classification shall include considerations related to change cost, risk impact assessment, and system(s) security.
- Assess a proposed change and authorize the change planning phase.
- Manage the CAB and provide all inputs including the agenda for the meeting, provide basis for decisions and authorizations.
- Coordinate, schedule, and conduct CAB meetings to include review of planned changes and results of changes made, ensuring that all appropriate parties are invited and represented in accordance with approved CAB policies.
- Authorise detailed change and release planning, and to assess the resulting plan prior to authorizing the change build phase.
- Assess if all required change and release components relating to the Supplier’s Operational Services, have been built and tested in accordance with the Supplier test plan, and are sufficient to authorize the change deployment phase.
- Ensure that appropriate back-out plans are documented and in place in the event of systems failure as a result of an Operational Services change or release
- Inform users and other impacted groups or functions of the timing and impact of the changes and releases as part of the communications process for the Operational Services
- Assess the course of the release or change implementation and the achieved results, in order to verify that a complete history of activities is present for future reference, and to make sure that any mistakes are analysed, and lessons learned
- Monitor changes, perform change reviews and report results of changes, releases, impacts, and change effectiveness metrics.
- Assess a proposed change or release before authorizing the change planning phase. Provide input to the CAB.
- Assess a proposed major change or release before authorizing the change build phase. Provide input to the CAB.
- Assess a proposed change or release before authorizing the change deployment phase. Provide input to the CAB.
- To assess a change or release after it has been implemented, to verify if the change has met its objectives and to identify any lessons to be learned. Provide input to the CAB including all reporting requirements including audits.
- Verify and report that change met objectives based upon predetermined effectiveness metrics and determine follow-up actions to resolve situations where the change failed to meet requirements.
- Perform quality control audits to ensure change and release processes are being followed accurately.
