The **Maintenance & Procurement Officer** is responsible for maintaining the functionality, safety, and appearance of the facility, handling procurement tasks to ensure necessary supplies and services are available, and performing administrative duties to support the efficient operation of the organization. This role is responsible for providing clerical and technical work involved in the procurement activities in the Central Office and in the clubs such as but not limited to equipment, materials, and supplies
**Job Description and Responsibilities**:
- Implement and manage a schedule for preventive maintenance to minimize unexpected breakdowns.
- Maintain records of maintenance activities and recommend improvements or upgrades when necessary.
- Respond promptly to urgent repair needs or facility emergencies, ensuring mínimal disruption to operations.
**Procurement Duties**:
- Identify suppliers, obtain quotes, compare prices and purchase materials, tools, and equipment necessary for facility maintenance and operations.
- Ensure the timely procurement of office supplies, maintenance tools, and other goods as needed for the efficient functioning of the facility.
- Build and maintain relationships with vendors and service providers to ensure cost-effective and reliable procurement.
- Obtain quotes, compare pricing, and ensure all procurement is within budget and meets quality standards.
- Manage and maintain inventory of maintenance supplies, office materials, and equipment, ensuring availability without overstocking.
- Regularly review inventory levels, reorder supplies as needed, and manage stock in an organized and efficient manner.
**Administration Duties**:
- Maintain accurate records of maintenance schedules, repairs, equipment inventory, and warranties.
- Keep detailed procurement records, including purchase orders, invoices, and supplier contracts.
- Assist in preparing the maintenance and procurement budget, ensuring all expenses are recorded and aligned with company financial goals.
- Monitor expenditures to ensure efficient use of resources and avoid unnecessary spending.
- Provide general administrative support to the facilities and operations team, such as processing invoices, handling correspondence, and maintaining a filing system.
- Assist with coordinating meetings, preparing reports, and supporting office management tasks.
- Ensure the facility adheres to all relevant health and safety regulations, conducting inspections and reporting hazards or non-compliance.
- Maintain and update safety documentation and training records for staff, contractors, and vendors.
**Skills & Qualifications**
- Experience in sourcing, purchasing, negotiating with vendors/suppliers for technical tools, equipment and services.
- With at least 1-2 years of solid working experience in administrative function, Procurement Officer, Purchasing Officer or similar role
- Ability to perform both office based administrative tasks and hands-on technical work.
- Basic knowledge in computer, preparing reports

- Follow company protocols for discipline, performance management, and safety.
- Manage compliance with clubhouse rules and SOPs. Notify the club manager or department head of any unsafe acts or conditions as soon as possible.
- Ensure that all exercise equipment is in good condition. Clean equipment and gym regularly.
- Participate in safety training and safety inspections.
Pay: RM2,900.00 - RM3,500.00 per month
