We are looking for an experienced Personal Assistant to provide comprehensive support to our Director and assist in various operational, administrative, and project-related tasks. This role plays a crucial part in enhancing operational efficiency, maintaining effective communication channels, and supporting decision-making processes within the organization.
**Key Responsibilities**:
- **Project Coordination**:_
- Efficiently allocate and track project progress by coordinating tasks across regional teams.
- Foster seamless communication and coordination among various functions, including marketing, accounts, HR, and front offices.
- **Operational Process Improvement**:_
- Develop and update Standard Operating Procedures (SOPs).
- Continuously identify areas for enhancing operational processes and overall efficiencies.
- **HR Administrative Support**:_
- Handle HR administrative processes, including document preparation, records management, and policy review and updates.
- Assist in the onboarding of new team members and ensure effective management of exit processes.
- Oversee the hiring processes for key positions and personnel joining the organization.
- **Document Management, Reporting & Communication**:_
- Generate documents, briefing papers, reports, and presentations as required by the Director.
- Ensure the accuracy, quality, and timely delivery of all documents.
- Prepare and distribute communications to internal and external stakeholders on behalf of the Director.
- **Decision-Making Support**:_
- Actively participate in decision-making processes by providing relevant data, insights, and administrative support.
**Requirements**:
- At least 5+ years experience as a Personal Assistant, Executive Assistant, or similar role.
- Meticulous and detail oriented. Excellent organizational and multi-tasking abilities.
- Strong written and verbal communication skills.
- Proficiency in office software and tools.
- Discretion and confidentiality in handling sensitive information.
- Degree holder in Business Administration, Legal or similar fields.
**Salary**: RM4,000.00 - RM6,000.00 per month
