A. Job Responsibilities:-
- Responsible to assist the PDD on overall administration operation functions of Construction, which include but not limited to General Admin Expenses – recording & monitoring, Budget, Maintenance of Building, Furniture, Fixture and Office Equipment.
- Ensure that all Construction admin operation activities are performed in the most effective and efficient manner. Sets targets for the team members and provide necessary coaching to further optimize performance.
- Responsible for the process improvement and enhancement of the Construction admin operations.
- Responsible for ensuring that all standards established are adhered to.
Administrator Function
i. Responsible to ensure that all documents are timely dispatch to all relevant departments and properly recorded.
ii. Responsible for receiving incoming and outgoing documents form Construction
iii. Responsible to scan document, receive fax and to raise the necessary form should there be any equipment breakdown.
iv. Responsible to assist receiving, scanning and dispatching Construction documents.
v. Responsible to ensure the payroll sheet for Construction is sent to HRD every end of the month.
vi. Responsible to ensure that sufficient stationeries for and Construction which is within the departmental budget.
vii. Responsible to screen, check and sort document before forwarding to the respective personnel.
viii. Responsible to prepare forms for payment issuance (WORF/PRF/APRF/RFP/PWDC/QIF) and all other related forms
ix. Responsible to coordinate with site administration
x. Responsible for the filing of documents
B. Job Task:-
- Ensure that the Quality System continues to operation in line with:-
i. the specified policies and procedures.
ii. the requirements of ISO.
- Responsible for initiating improvements in the Quality System, making proper recommendation, follow-up, and taking necessary action(s).
- Review and continuously improve on existing Construction system and procedures.
- Keep HQ departments, sites and branches abreast on all Construction policies and procedures implemented / updated / executed.
- Develops and fosters good working relationships with key internal and external contacts.
- Implement and execute all Construction policies / procedures and ensure compliance to the Company's operation standards.
- Assist to identify, set and implement Construction admin operation standards for the VTS Group of Companies.
- Follow-up with various HQ departments and branches on all Construction related matters while providing timely, regular and accurate reports as scheduled by the Management.
- Work together with other departments to further enhance the net profitability in the Company's operations.
- Constantly look into improvement of workflow, work efficiency, work quality and innovation. Focus on better and more effective methods.
- Attend training as and when required by the Management.
- Performs all other scope of works and / or responsibilities which can vary, time-to-time, as instructed by the Management.
- In all circumstances, as a team member of the Company, you shall be required to assist in any Company event and activity that is held.
Job Type: Full-time
Pay: RM1, RM2,500.00 per month
