Personal Assistant

1. Daily Schedule Management:
· Arrange and manage the Director's daily schedule, including meetings, appointments, and travel arrangements.
· Ensure the schedule is well-organized, avoid time conflicts, and promptly remind the Director of important engagements.
2. Meeting Arrangement and Coordination:
· Schedule internal and external meetings, including booking meeting rooms, preparing agendas, and sending invitations.
· Coordinate attendees' availability to ensure smooth meeting proceedings.
3. Meeting Minutes and Follow-Up:
· Take meeting minutes, compile meeting summaries, and distribute them to relevant parties.
· Follow up on action items from meetings to ensure tasks are completed on time.
4. Project Follow-Up:
· Assist the Director in tracking the progress of projects managed by various departments to ensure they are on schedule.
· Maintain communication with department heads and provide timely updates on project status and potential issues.
5. Document and Correspondence Management:
· Handle the Director's daily documents and correspondence, including emails, reports, and contracts.
· Ensure proper filing and archiving of documents for easy retrieval.
6. Government Department Communication:
· Assist the Director in communication and coordination with government departments to ensure accurate and timely information exchange.
· Prepare and submit required documents and reports to comply with government regulations and requirements.
Requirements:
· Education: Minimum of a Bachelor's Degree (Degree), with a preference for those with a background in secretarial studies.
· Language Proficiency: Fluent in Chinese, Malay and English, with excellent written and verbal communication skills.
· Technical Skills: Proficient in office software (e.g., Microsoft Office Suite), with strong organizational and time management abilities.
· Experience: Prior experience as a secretary or personal assistant or administrative assistant is preferred, with additional experience in government communication being an advantage.
· Personal Attributes: Detail-oriented, responsible, able to work under pressure, and possess strong problem-solving skills.
* 5 days work week, 8:30 a.m. to 5:30 p.m.
* 14 days Public Holiday
* 12 days Annual Leave
Job Types: Full-time, Permanent
Pay: RM4, RM6,000.00 per month
