Job Scope: Customer Care – Dental Clinic

Primary Purpose

To ensure a positive, smooth, and professional experience for patients before, during, and after their dental visits by managing appointments, communication, and patient relations.

Key Responsibilities

  • Reception & Front Desk Duties
  • Welcome patients upon arrival and guide them through check-in and registration.
  • Manage walk-in patients and ensure waiting area is well-maintained.
  • Provide polite and empathetic in-person service.
  • Appointment Management
  • Schedule, confirm, and reschedule appointments using clinic software.
  • Coordinate with dentists to manage time slots and reduce waiting times.
  • Send reminders via phone, SMS, email, or WhatsApp.
  • Patient Communication
  • Answer phone calls, emails, and online messages in a professional manner.
  • Provide clear information on services, procedures, pricing, insurance, and dental packages.
  • Explain pre- and post-treatment instructions when needed.
  • Billing & Payment Support
  • Prepare and explain billing statements to patients.
  • Handle payments (cash, credit, online transfers).
  • Assist with dental insurance paperwork and claims.
  • Record Keeping
  • Maintain accurate and up-to-date patient records in the system.
  • Ensure confidentiality and data privacy compliance.
  • Help patients fill out consent forms or health history forms.
  • Aftercare & Follow-Up
  • Conduct follow-up calls to check on patient recovery.
  • Collect patient feedback and reviews.
  • Promote return visits or loyalty programs.
  • Clinic Coordination
  • Coordinate with dental assistants, hygienists, and dentists to ensure smooth patient flow.
  • Inform team of special patient needs or emergencies.
  • Help manage emergency appointments or cancellations.

Skills & Qualifications

  • Good spoken and written communication (local language + English)
  • Friendly, polite, and patient-focused demeanor
  • Basic understanding of dental terms and procedures (training is usually provided)
  • Computer skills (clinic software, Excel, email)
  • Experience in customer service or healthcare is a plus

Job Types: Full-time, Permanent

Pay: RM2, RM2,500.00 per month
