Role Description

Sales & Customer Documentation

  • Manage all sales/customer related documentation for assigned customers:
  • Issue Sales Orders
  • Generate Invoices
  • Issue Delivery Orders
  • Prepare & submit K9 Custom Form Applications (for Malaysia Customs) for any products needing approval, including K9 Delivery Order and K9 Packing List.

Order & Sample Management

· Oversee full order processing, coordinating with internal teams — Planning, Production, Warehouse, Logistics — to ensure shipment commitments are met.

· Arrange and submit samples required for New Product Development (NPD): raw materials, master batches, packaging, and components.

· Organize and supervise internal sample runs according to customer specifications.

Logistics & Shipment Operations

· Coordinate with logistics providers and freight forwarders to plan, prepare, and execute shipments (local & international, as applicable).

· Ensure all documentation for shipment is complete and compliant: Bills of Lading, Packing Lists, Customs Declarations, etc.

· Monitor shipments — track progress, ensure timely dispatch & delivery, alert Project Manager or relevant stakeholders of delays or issues.

· Work with the warehouse on goods receipt, packing, labelling, loading, and dispatching, to align with shipping schedules.

· Ensure compliance with relevant customs, import/export laws, and trade regulations in Malaysia.

Operations & Communication

· Attend daily operations / production meetings to stay updated on production schedule, identified risks, and resources; escalate as necessary.

· Maintain strong communication with customers regarding order/shipment statuses, delays, or changes.

· Handle customer feedback and complaints, especially those related to delivery, quality, logistics, or documentation.

Continuous Improvement & Other Duties

· Identify opportunities to improve logistics, documentation workflows, order fulfilment processes for higher efficiency / lower cost.

· Maintain accurate records and KPIs related to deliveries, shipments, customer satisfaction.

· Other relevant tasks as assigned by the Project Manager.

Job Types: Full-time, Permanent

Pay: RM3, RM3,500.00 per month
