Job description:

  • Manage and coordinate all aspects of the training centre's operations, including scheduling, pre- and post-training communication, registration and enrolment, resource allocation, logistics, hostel, food & beverage, stationery, utilities, and facility management.
  • Handle HRDF claims, including preparation of required documentation, submission, and follow-up to ensure timely claim processing.
  • Ensure proper documentation and filing in compliance with ISO audit requirements, including records of participant attendance, training materials, course evaluations, and training effectiveness assessments.
  • Prepare accurate quotations and comprehensive contracts for training programs based on client requirements and company pricing guidelines, ensuring all terms and conditions are clearly stated and agreed upon.
  • Generate and manage invoices for training programs, ensuring accuracy in pricing, billing details, and payment terms.
  • Coordinate with clients to address any queries or concerns related to quotations, contracts, or invoices, providing excellent customer service and timely responses.
  • Maintain accurate and up-to-date records of all quotations, contracts, and invoices for proper documentation and filing.
  • Issue purchase requisitions (PR) and purchase orders (PO), and perform data entry tasks using AutoCount.
  • Assist in the development and improvement of administrative processes and systems to enhance efficiency and effectiveness.
  • Perform any other ad-hoc duties assigned by management as required.

Job Requirements:

  • Minimum Diploma or Degree in Business Administration, Human Resource, or related field.
  • At least 1 year of experience handling HRDF claims.
  • Strong administrative, coordination, and communication skills.
  • Possess own transport and willing to travel to branches, plants, or training centres to coordinate training programs.
  • Proficient in Microsoft Office. Experience in AutoCount software is an advantage.
  • Organized, detail-oriented, and able to work independently with minimal supervision.

Job Type: Full-time

Pay: RM3, RM3,500.00 per month
