KEY RESPONSIBILITIES

  • Liaise with customers on order status, from receiving purchase orders to arranging deliveries.
  • Respond promptly to customer inquiries about product availability and delivery lead times.
  • Handle after-sales issues, including coordination for product exchanges or repairs for defective items.
  • Prepare sales orders, delivery orders, invoices, and other related documents accurately and promptly.
  • Coordinate with suppliers, logistics, and internal departments (e.g., Finance, Warehouse, and Technical) to ensure smooth order fulfilment and timely delivery.
  • Perform goods receiving in the system and prepare purchase invoices upon receipt of supplier deliveries.
  • Prepare and maintain loan and rental agreements, ensuring proper documentation and filing.
  • Track customer contract renewals for WAVE PTX products and maintain updated records.
  • Monitor SIM card activations and update records accordingly.
  • Maintain and update customer databases, sales records, and reports, and assist with data entry tasks.
  • Monitor stock levels and coordinate with suppliers for timely replenishment to avoid shortages or overstock.
  • Maintain accurate inventory records and ensure proper filing and documentation.
  • Prepare and submit weekly reports to management.
  • Perform other administrative duties as assigned by management or direct superior.

QUALIFICATIONS & REQUIREMENTS

  • At least 3-5 years of working experience in a Sales Admin / Sales Support / Sales Coordinator role.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong attention to detail, excellent organizational skills, and ability to manage multiple tasks effectively.
  • Good communication and interpersonal skills, with a customer-focused attitude.
  • Able to work independently with minimal supervision.
  • Knowledge of the Auto Count system is a plus.
  • Experience in the telecommunication, security systems, or electronic equipment industry will be an added advantage.
