Role Description
This is a full-time, on-site role located in Petaling Jaya for a Product & Admin Support Executive. The Product & Admin Support Executive will be responsible for customer-facing support with internal administrative responsibilities, acting as a vital link between our customers, manufacturers, and internal teams.
Key Responsibilities
- Act as a key link between customers, manufacturers, and internal teams, ensuring clear and timely communication.
- Maintain accurate records of sales transactions, customer interactions, office-related activities and relevant documentation.
- Oversee all corporate record-keeping (physical and electronic), establishing and maintaining a secure, compliant, and easy-to-retrieve archive of all essential documents.
- Generate and distribute essential commercial documents, including customer quotations, shipping manifests, and sales invoices, ensuring accuracy and timely delivery.
- Draft, proofread, and finalize critical business documentation, including detailed reports, strategic proposals, and client-facing materials.
- Provide administrative support including scheduling meetings, coordinating deliveries, managing correspondences, and processing invoices and claims.
- Manage and maintain optimal inventory levels for all office supplies, proactively conducting stock counts and coordinating timely procurement to prevent shortages.
Qualifications
- A Diploma/Bachelor's Degree in any field, or an equivalent combination of relevant coursework and work experience
- At least 2 years of experience in customer service, client support, or sales support roles.
- Fluent written and verbal communication skills in English, with the ability to communicate professionally and clearly with internal and external stakeholders. Proficiency in Mandarin or additional languages is a strong advantage.
Technical Competencies and Other Skills
- Proficiency in
Microsoft Office
(Word, Excel, PowerPoint, Outlook). - Competent in creating
sales reports, forecasts, and presentations
. - Familiarity with cloud-based tools such as
Dropbox, Google Workspace
(Docs, Sheets, Drive). - Strong organizational and multitasking abilities and familiarity with logistics coordination or delivery scheduling.
