Overview

The HR Assistant will support day-to-day HR operations, including recruitment, payroll preparation, documentation, data entry, and general administrative tasks. This role ensures smooth HR processes and helps maintain accurate and organized employee records.

Key Responsibilities

  1. Recruitment Support

  2. Assist in posting job vacancies on various platforms.

  3. Coordinate interview schedules with candidates and hiring managers.
  4. Conduct initial screening calls when required.
  5. Prepare offer letters and follow up on onboarding documents.

  6. Payroll Assistance

  7. Collect staff attendance, overtime forms, and claim for payroll processing.

  8. Verify accuracy of timesheets and supporting documents.
  9. Assist HR Executive/Manager in preparing monthly payroll inputs.

  10. Documentation & Filing

  11. Maintain and update employee personal files and HR databases.

  12. Ensure all HR documents are properly filed, labelled, and secured.
  13. Organize onboarding and resignation documentation.

  14. Data Entry & Reporting

  15. Update HR systems, trackers, and spreadsheets (attendance, leave, training, etc.).

  16. Compile basic HR reports when required.

  17. General Administration

  18. Handle HR-related inquiries from staff (e.g., leave, benefits, procedures).

  19. Prepare letters such as confirmation, warning, and memos under instruction.
  20. Support HR events such as training, onboarding sessions, and staff activities.
  21. Assist with ad-hoc tasks assigned by the HR Manager.

Requirements

  • Minimum Diploma in Human Resources, Business Administration, or related field.
  • Good communication and organizational skills.
  • Proficient in Microsoft Office (Excel, Word).
  • Ability to maintain confidentiality and accuracy.
  • Fresh graduates are encouraged to apply.
