We are seeking an experienced Admin Executive in Finance & Accounts department. Your job scope will mainly be managing our day to day administrative works. This position will provide you a nurturing and exciting working environment where you will be guided closely by our Assistant Managers and Financial Controller, and you will support all aspects of the department together with your peers. Your job scope covers mainly administrative support in the areas of payment processing, documentation for banking and treasury matters, assisting in cash flow tracking, maintaining proper records for account closing, and coordinating with internal teams to support the Finance & Accounts operations.

KEY RESPONSIBILITIES

  • Provide all administrative support to ensure efficient department operations, including managing schedules, handling correspondence, and organizing files and records.
  • Review and process staff expense claims, ensuring accuracy and adherence to company policies.
  • Manage and keep track on insurance-related matters for fixed assets, employees, and company's fixed assets (i.e: Building & Motor Vehicles).
  • Manage office general stationaries and sundries purchases and controlling.
  • Oversee the management and administration of all company motor vehicles, including maintenance, road tax, insurance and documentation.
  • Coordinate any travel and accommodation arrangements for Management when required.
  • Manage office tenancy agreements and oversee maintenance requirements.
  • Manage document certification, company licenses, and stamping procedures, including coordination with CTC, LHDN, and other relevant authorities.
  • Arrange for documents requiring director signatures and ensure timely processing.
  • Organize courier services and manage document delivery logistics.
  • Handle company's confidential documents, ensure the effectiveness of office administration and maintain conducive & harmony working environment.
  • Assist with maintaining and updating accounting records, ensuring accuracy and completeness.
  • Coordinating team events, activities, and internal communications, while supporting cross-department collaboration to ensure smooth operations and timely information flow.
  • Assist in any other ad-hoc and data entry task duties assigned by the superior to support the department operations.
  • Assist other departments' administrative tasks, where necessary.

JOB COMPETENCIES REQUIREMENT

  • At least 1 year of work experience in Administration, Accounting, Finance, or a related field. Knowledge of the Autocount System is an added advantage.
  • Possess at least a Diploma or Bachelor's Degree in Business Management, Administration, Accounting, Finance, or a related field.
  • Able to read, write, and speak fluently in English.
  • Strong interpersonal and communication skills to communicate with the team and other stakeholders.
  • Strong organizational skills and able to manage multiple competing priorities.
  • Attention to details and strong problem-solving skill.
  • Willing to learn and work in a dynamic business environment.
  • Self-starter, self-motivated, independent and versatile team player.
  • Working experience in financial audit or construction related business will be an advantage, but not required.
