Personal Assistant to CEO

About the role
We are looking for a highly organized, professional, and proactive Personal Assistant to the CEO. The ideal candidate must be able to support the CEO across executive coordination, project management, presentation development, and business reporting. This is a high-expectation role suited for someone who can operate with maturity, confidentiality, and strong communication skills.
What you'll be doing
Executive Support
- Manage CEO's calendar, appointments, meetings, and travel arrangements
- Prepare meeting agendas, minutes, and follow-up action tracking
- Act as the primary liaison between CEO and internal/external stakeholders
- Handle sensitive information with a high degree of confidentiality
Communication & Presentation
- Draft professional emails, letters, reports, and internal communications
- Prepare high-impact presentation slides for meetings, proposals, and reviews
- Assist CEO in storyboarding, structuring, and refining presentation content
Project Management
- Coordinate cross-functional projects assigned by the CEO
- Track progress, follow-up with teams, and ensure deliverables are met
- Provide regular status reports and highlight issues proactively
Sales & Business Analysis
- Assist the CEO with sales quota monitoring, forecasting, and pipeline analysis
- Prepare dashboards, summaries, and performance insights
- Coordinate with Sales, Finance, and Operations for data accuracy
Stakeholder & Business Support
- Liaise with enterprise clients, partners, vendors, and regulatory agencies
- Represent the CEO in certain meetings when required
- Support business operations, documentation, and administrative tasks
What we're looking for
- Minimum 5 years of experience as a Personal Assistant or Executive Assistant, preferably supporting a C-suite executive
- Degree in Business, Management, Communications, or related field
- Excellent command of English (written & verbal) & Bahasa Malaysia; Mandarin added advantage
- Strong proficiency in PowerPoint, Excel/Sheets, and presentation design
- Strong analytical skills and experience with data reporting
- High level of professionalism, maturity, and discretion
- Able to multitask, prioritize, and work in a fast-paced environment
- Strong project management and communication skills
