About the Role

Lilies & Sparrows Sdn. Bhd., a growing company in the automotive industry, is seeking an experienced and detail-oriented Administrative Executive. This role is essential in ensuring smooth operations by managing high volumes of documentation, coordinating with partners, and providing reliable support to management.

What You'll Be Doing
  • Handling bulk printing, document collation, filing, and tracking
  • Spotting missing paperwork and proactively following up with stakeholders (e.g. workshops, suppliers, partners)
  • Preparing and maintaining spreadsheets (Excel/Google Sheets) for data, submissions, and reporting
  • Drafting, reviewing, and managing correspondence including emails, letters, and reports
  • Assisting with project coordination, reporting, and ad hoc administrative tasks
  • Coordinating schedules, meetings, and occasional travel arrangements
  • Serving as a reliable point of contact for internal teams and external stakeholders
  • Ensuring accuracy, professionalism, and confidentiality in all administrative matters
What We're Looking For
  • Minimum 3 years' experience in administration (experience in the automotive, legal, or other document-intensive industries is highly valued)
  • Very strong Chinese communication skills, with strong English and Malay
  • Excellent spreadsheet skills (Excel and Google Sheets)
  • High emotional intelligence (EQ) with strong relationship management and follow-up skills
  • Strong attention to detail, able to identify errors or missing information quickly
  • Proactive, adaptable, and comfortable with shifting priorities and urgent tasks
  • Proficient in Microsoft Office and Google Workspace
  • Professional, discreet, and confident liaising with individuals at all levels
