- Procurement & Purchasing
- Key person in the SAP Business One; including purchasing from another department.
- Vendor registration issuance.
- Maintaining and monitoring motor vehicle insurance and road tax renewal.
Travel and Accommodation
Support travel desk to assist in liaising, booking and confirmation with travel agent and hotel operators for both domestic and international venues.
- Process invoicing, and Issuing BRF for payment.
- Tracking and Monitoring Admin Budget Utilisation Report (BUR).
- Phone directory updates.
- Managing international and domestic courier services.
- To take care of the meeting rooms and all equipment and booking.
- Attend new hires and do briefings on admin matters and provide them with employee passes, stationery, and uniforms.
- Collect all stationery, employee passes and uniforms from terminated/quit staff on their exit date.
- Perform general office duties for department such as word-processing, photocopying, faxing, report generation, filing and taking care of office stationery.
- Provide support such as basic graphic creation for presentations and documents when required.
- Coordinate outgoing department correspondence; addresses and mails documents; distribute incoming mail to appropriate personnel in respective departments.
- Distribute documents to respective department employees such as faxes, staff calendars, or proposal responses.
- Schedule meetings and off-site events; reserves conference rooms as appropriate as well as order for refreshment if needed.
- Answers incoming calls from Direct Inward Dialling (DID), records messages and delivers to appropriate personnel; researches and responds to routine inquiries.
- Take dictation and meeting minutes, accurately enter notes, and distribute.
- Report malfunction facilities to building management or seek repair or maintenance from relevant vendor.
- Handled confidential and sensitive information with discretion and tact.
- Manage pantry supplies and reorder when appropriate.
- To assist application leave for the tea lady; ESS application record.
- Assisting ad-hoc function such as birthday celebration for HRA.
