Job Purpose:

To assist in handling all import logistics operations including documentation, coordination with suppliers, forwarding agents, and internal departments to ensure smooth and timely delivery of imported goods in compliance with company policies and Malaysian import regulations.

Key Responsibilities:

  • Import Documentation & Coordination
  • Prepare, verify, and process import documents such as invoices, packing lists, BL/AWB, COO, and permits.
  • Coordinate with suppliers, freight forwarders, and customs brokers for timely shipment and clearance.
  • Ensure compliance with all import regulations and requirements by Malaysian authorities.
  • Shipment Tracking & Monitoring
  • Track shipment schedules and update relevant departments on estimated arrival dates.
  • Follow up with agents on delays, discrepancies, or missing documents.
  • Customs & Clearance Process
  • Liaise with customs and forwarding agents for clearance arrangements.
  • Ensure all duties, taxes, and necessary permits are properly managed and paid on time.
  • Internal Coordination
  • Communicate with procurement, finance, and warehouse teams for shipment planning and delivery arrangements.
  • Support in preparing import cost summaries and maintaining shipment records.
  • Reporting & Record Management
  • Maintain accurate records of import documentation, shipment details, and correspondence.
  • Prepare periodic reports on import activities and cost analysis.
  • Continuous Improvement
  • Support process improvement initiatives in import and logistics efficiency.
  • Ensure all activities comply with company policies, safety standards, and statutory regulations.
