JOB PURPOSE:

The Office Coordinator plays a pivotal role in supporting the Engineering Division by ensuring smooth administrative operations, facilitating communication, and maintaining organizational efficiency. This role bridges technical teams and administrative functions, enabling engineers to focus on project execution while ensuring compliance, coordination, and continuity.

RESPONSIBILITIES:

Administrative Support

  • Manage calendars, meetings, and travel arrangements for engineering leadership and team members.
  • Prepare and distribute meeting agendas, minutes, and technical documentation.
  • Maintain and update engineering records, drawings, and project files (physical and digital).

Communication & Coordination

  • Serve as the primary point of contact for internal and external communications within the division.
  • Coordinate with other departments (e.g., Procurement, HR, Finance) to support engineering needs.
  • Assist in onboarding new engineering staff and contractors.

Project & Office Management

  • Track project timelines, deliverables, and documentation requirements.
  • Monitor and order office and technical supplies specific to engineering needs.
  • Support compliance with safety, quality, and regulatory documentation.

Reporting & Documentation

  • Compile reports, presentations, and data summaries for engineering leadership.
  • Maintain logs for equipment calibration, maintenance schedules, and vendor interactions.
  • Ensure document control procedures are followed for engineering drawings and specifications.
  • To undertake any other duties as directed by the Immediate Supervisor and Management as and when required.

QUALIFICATIONS:

  • SPM/ Diploma in Administration or equivalent
  • Working in Administration environment
  • Good Communication in writing and speaking in Malay and English

Job Types: Full-time, Permanent, Fresh graduate

Pay: RM1, RM2,200.00 per month
