Key Responsibilities

Employee Lifecycle

Confirmation

  • Manage the end-to-end employee confirmation process, including preparing memos/emails, reviewing appraisal forms, and issuing confirmation letters.
  • Ensure all documents are accurately filed in personal files.

Transfers

  • Ensure adherence to transfer policies and manage documentation for inter-department and inter-company transfers.
  • Maintain and update the transfer database.

Resignations

  • Oversee the full resignation process, including verification of letters, last-day confirmation, exit documentation, and coordination with Corporate HR.
  • Conduct exit interviews, collect company property, update databases, and manage e-Exit forms.
  • Complete proper filing and coordinate central filing.

Performance & Rewards

  • Prepare pre-cycle employee lists and check completeness of performance review submissions.
  • Identify eligibility for payments and prepare increment and bonus letters.
  • File and maintain all performance and rewards-related documents.

Benefits Administration

  • Process and verify claims (medical, maternity, newborn, bereavement, dental, optical) for TPA submission.
  • Coordinate the annual Long Service Award ceremony.
  • Manage insurance claims (GTL, GPA, Disability) and liaise with insurance brokers.
  • Handle TPA communication and payments.
  • Coordinate the annual Productivity Sharing Program payout.

Employee Engagement

  • Support and participate in employee engagement activities organized by management or departments.

Annual Practicing Certificate (APC) Management

  • Coordinate the APC exercise for nurses in compliance with Malaysian Nursing Board (MNB) deadlines.
  • Act as the point of contact for APC matters.
  • Consolidate APC requirements for various clinical professions.

General HR Administration

  • Respond to enquiries and prepare certification letters.
  • Support internal communications and maintain employee personal files.
  • Guide employees and HODs on the HR management system.
  • Monitor HR department inventory and budget.
  • Provide coverage for HR team members on long leave.

HR System Support (MyHR)

  • Assist staff and HODs with MyHR usage and troubleshooting.
  • Support attendance, leave management, and payroll-related approvals.
  • Update Superior ID changes and handle system-related queries.

Other Responsibilities

  • Perform any additional duties assigned by the Hospital Management Team or HR Administrator.
  • Support hospital accreditation processes, particularly HR-related areas.
  • Coordinate Employee of the Month and Employee of the Year programs.

Education & Professional Qualification

  • Degree/Diploma in any discipline
    with
    a Diploma/Certificate in Human Resource Management.
  • Minimum
    3 years of relevant HR experience
    .
  • Computer literate and comfortable with HR systems.
  • Fluent in
    English and Bahasa Malaysia
    (written and spoken).
  • Knowledge of additional languages/dialects is an advantage.
  • Prior experience in administrative functions is an added benefit.
