About the role

Vekan Malaysia Sdn. Bhd. is currently seeking a highly motivated and experienced
Executive Assistant
to join our dynamic team in Port Klang. As an Executive Assistant, you will play a vital role in supporting to the Director of Vekan Malaysia by ensuring effective management of executive priorities, stakeholder communications, and regional coordination.

What you'll be doing

  • Prioritize, plan, and coordinate meetings, board sessions and business travels to ensure the executive's calendar runs efficiently.
  • Develop briefs, presentations, decks, agendas, and meeting minutes;
  • Follow up proactively with Heads of Department (HODs) to ensure timely completion of action items.
  • Filter and manage emails, calls, and requests; respond on behalf of the
    Directors
    when appropriate and ensure all communications are handled with clarity, professionalism, and urgency.
  • Handle high-level HR files, legal documents, strategy papers, and other sensitive materials with strict confidentiality and discretion.
  • Assist the executive in preparing for internal and external meetings, including compiling data, reports, talking points, and required documentation.
  • Respond to internal and external correspondence, inquiries, and document requests on behalf of the executive; ensure timely follow-up and closure.

What we're looking for

  • Minimum 5 years' proven experience as an Executive Assistant, ideally supporting senior management or C-level executives.
  • Proven ability to manage executive-level communications, confidentiality, and complex schedules.
  • Fluent in English and Mandarin (spoken and written) is required. Proficiency in additional SEA languages is an advantage.
  • High proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook); strong digital fluency.
  • Demonstrated integrity, discretion, and trustworthiness.

Pay range and compensation package: Up to RM 6,000
